Reporting to the Associate Administrator, the Staffing Support Clerk is responsible for preparing and organizing employee work schedules to ensure appropriate staffing levels throughout the home, including, arranging coverage for staff absences, and accurate documentation for staff compensation This position supports all functions of the Administration Division and is primary backup to the Payroll and Benefits Accounting Clerk. What you’ll bring:

- Two (2) year Community College diploma in Business Administration or a related discipline
- Minimum two (2) years of practical experience in a similar position
- Experience with scheduling staff in a healthcare setting
- Satisfactory police vulnerable sector screening
- A tuberculosis (TB) test

What you’ll do:

- In consultation with departmental Managers, develops and organizes departmental master schedules, as directed.
- Ensures that the appropriate number of personnel are on duty for all work assignments, in every work period, including arranging coverage for call-ins, shift switches, and education.
- Coordinates the annual vacation booking processes and schedules vacation coverage.
- Records and verifies hours worked for unionized employees, including but not limited to overtime payments, shift premiums, statutory holiday pay eligibility, absences, and bank entitlement usage. Ensures this information is accurately recorded in the computerized scheduling system for payroll processing each pay period. Works with the Payroll and Benefits and Accounting Payroll Clerk verifying information as needed.
- Utilizes and supports Scheduling System Software, including administrative level security access.
- Coordinate with Human Resources to manage staff vacancies and associated job posting processes
- Support Dufferin Oaks Administration functions, including backup and relief of all divisional positions (Receptionist, Accounting Clerk)
- Primary backup of Payroll and Benefits Accounting Clerk position
- Set up and maintain applicable software user account information
- Supports information and records management functions, including resident and staff records and communications to staff, residents and families.
- Other duties as assigned.
