**Position Summary**: The Tenant Services Coordinator is a fundamental support role designed to enhance the operational and administrative functions of our Property Management Department. This position aligns with The M Group's commitment to empowering our communities through exceptional service and strategic investment. In this role we are looking for someone with a Customer Service Excellence focus to enhance our growing Tenant Service Coordinator Team. **Key Objectives**: - **Safety and Standards**: Prioritize the safety and well-being of both the building and its tenants. Ensure the building and its equipment are operated and maintained to the standards expected by owners and management. - **Tenant Relations**: Attract and maintain high-calibre tenants while fostering harmonious and professional relationships with all tenants, trades, and management staff. - **Service Excellence**: Provide professional and prompt service to tenants and tradespeople, ensuring a positive experience and satisfaction. **Core Responsibilities**: **Operations Support**: - Assist in daily operations and provide support to the Property Management Team. - Familiarize yourself with MMC Company policies, tenancy agreements, rules, and regulations. - Administer and manage vendor relationships and activities related to the physical operation of the property, including service procurement, fire safety inspections, contract management, and more. - Follow all fire safety procedures as required by the Ontario Fire Code and maintain accurate documentation. - Participate in tenant retention efforts and coordinate seasonal events. **Tenant Services Management**: - Respond positively to the needs and concerns of all tenants, ensuring alignment with ownership's investment objectives. - Deliver notices, letters, and forms to tenants, ensuring care with all legal documents. **Financial and Administrative Duties**: - Ensure all unit records are accurate, up-to-date, and maintained with strict confidentiality. - Assist with fiscal activities, vacancy tracking, and insurance claims. - Maintain accurate records for parking, lockers, and other relevant aspects, and manage allocated parking and visitor parking. **Minimum Education/Experience Required**: - A high school diploma is required; a post-secondary degree/diploma in hospitality, administrative support, or related fields is preferred. - 2-3 years of experience in Customer Service, Hospitality, Administration, or similar roles is preferred. - Proficiency in Microsoft Office programs, including Word, Excel, PowerPoint, and Outlook. **Required Skills & Qualifications**: - Excellent interpersonal and customer service skills. - Ability to follow instructions and demonstrate a strong sense of responsibility. - Highly energetic with the ability to adapt to changing priorities positively. - Familiarity with building maintenance systems like HVAC, plumbing, electrical, and safety systems is an asset but not required." **_ AODA_** **_ Use of AI_** **Benefits**: - Company events - Extended health care & Dental care - Employee assistance program - Life insurance - Paid time off - Vision care Schedule: - Monday to Friday
