**As an Administrative Assistant your responsibilities will include**:
**Reception**
- Provide reception coverage each day in a professional work environment and assist clients, staff, guests and vendors with general inquiries
- Handling a software-based phone systems
- scheduling meetings and other related events
- Meeting room preparation and clean-up
- Travel planning and coordination
- Various forms of research
- Filing, faxing, scanning and photocopying
- Other administrative duties as required
- Document Production & Dictation
- Preparing, drafting, editing and formatting of letters, reports, presentations, financial statements and other correspondence using MS Office (i.e. Word, Excel, PowerPoint, etc)

**Expenses & Billing**
- Preparing and tracking expense claims/submissions
- Preparing WIP reports and bills

**Calendar Management**
- Scheduling meetings and other related events
- Preparing and assisting with meeting materials (i.e. presentations, handouts, etc)
- Meeting room preparation and clean-up

**Contact Management & Business Development Support**
- Maintaining and updating a list of contacts and prospects in MS Outlook
- Liaising with Star Administrator to ensure new clients are entered and linked to system

**Other duties as required**:

- Assembly and efiling of T1's
- Duties may include other aspects of our T1 practice
- Training new staff on our internal systems
- Various forms of research
- Learning new software to assist in the administrative duties, as required
- Other administrative duties as required

- Proven work experience in project management
- Solid organizational skills including attention to detail and multi-tasking skills
- Advanced working knowledge of MS Suite, Visio, Adobe Acrobat, social media etc.
- A customer-oriented attitude
- Excellent communication and interpersonal skills with an aptitude for building strong client relationships
- Strong negotiation skills with a problem-solving attitude
- Innovative thinking, sound judgment, and adaptable to service needs
- Proven experience in providing exceptional client service
- Takes initiative and direction and is a self-directed learner
- Demonstrates sound judgment regarding confidential and sensitive matters
- Available to work overtime during peak tax filing seasons, particularly March, April and June
