**Position Title**
- Program Assistant - Systems**Position Summary**
- The Program Assistant - Systems supports the day-to-day operations of the Division of Extended Education (DEE) and has two key functions: to input and submit DEE contracts (AUPE, CUPE, Employee & FFS) to Payroll or Finance; and to input course information into Lumens and Banner student database. The incumbent is accountable for ensuring the information entered is accurate and meets the appropriate deadlines so that people get paid on time and the course registration occurs as scheduled. Position is responsible to follow FOIP guidelines and ensure complete confidentiality.**Position Responsibilities**
**Responsibility Area: Extended Education Contracts and Costing - 50%**
- Enters all divisional personnel contracts into the appropriate financial system
- Ensures all payroll information is submitted accurately and on time
- Communicates with instructors to obtain personal and business information to enter into the enterprise resource planning (ERP) system required for instructor pay
- Accurately prepares and issues instructor contracts, letters/packages confirming employment and work schedule and sends relevant information to finance
- Complete additional information required by Revenue Canada and Finance for international instructors and disseminates to the appropriate stakeholders
- Ensures accuracy when inputting position numbers, fund, organization code, account, and program (FOAP) numbers
- Revises contract and pay information if required
- Tracks and records all instructor and staff payments
- Prepares employment letters (AUPE/CUPE/FARDC) as required
- Manages instructor pay change form
- Clarifies pay information with Program Coordinators as necessary
- Review course costing sheets for accuracy and completion, and clarify any discrepancies with Program Coordinator as necessary
**Responsibility Area: Program and Course Building - 45%**
- Enters program and course build information into the appropriate system(s)
- Enters data from the course costing spreadsheet into the required Enterprise Resource Planning (ERP) System/Student Information System (SIS), and scheduling software as necessary
- Reviews all data entered into the program and course building systems are accurate
- Creates and maintains instructor and corporate profiles in the ERP system as needed
- Works with large amounts of data transfer from spreadsheet to database program
- Provides recommendations for improving process as they relate to scheduling and course builds
- Initiates roll-over of courses after each term in ERP system and SISs and updates status after roll-over for each course
- Communicates with appropriate individuals to facilitate term rolls
- Responsible for entering grades into the SIS when required
- Provides CRN from Banner to registration for required courses
**Responsibility Area: Administration and Reporting - 5%**
- Generates regular reports for the division
- Identifies inefficient processes, recommends solutions and implements revised process or procedures in consultation with co-workers
- Participates on committees related to the role
- Provides administrative/program support as required
**Required Qualifications**
- Completion of a 1-year college certificate, one year University or equivalent.
- 1+ years experience
**Preferred Qualifications**
- Experience with Microsoft Office Suite and databases
- General computer and printer knowledge
- Strong attention to detail
- Excellent communication and interpersonal skills
- Ability to work independently and in a team environment
- Experience with Lumens and Banner would be an asset
- Data entry experience would be an asset
