Administrative Support Secretary

The primary focus of the Division of Neurology has been on assessment of and management of cognitive impairment due to brain disorders and movement disorders. The objectives of our program are focused on clinical service, education and research within a model of extensive interdisciplinary team collaboration in all three spheres.
The Division of Neurology has significantly benefited patients, families, and caregivers by providing them with diagnostic information, treatment plans, and strategies for ongoing management.
**Responsibilities include but are not limited to**:
- Act as the administrative support to the Medical Director for Cognitive and Behavioural Services and the Division Head of Neurology.
- Maintains electronic calendar/schedule for Head of Neurology Division
- Uses sound judgment and diplomacy to reschedule and/or book meetings according to frequently changing priorities
- Ensures meeting materials are prepared and provided promptly for scheduled appointments; confirming and monitoring attendance of various external and internal attendees.
- Drafts reports for various internal and external stakeholders related to budgets and program activities (i.e. donor reports, University of Toronto Behavioural Neurology Section annual report and budget report).
- Budget responsibilities including supporting the development of draft budgets, monitoring budgets and developing budget reports.
- Develops presentations and other meeting materials using PowerPoint, Word and Publisher and preparing agendas and taking minutes of meetings as required.
- Coordinates academic activities for research and medical fellows as well as research assistants and students including preparing and processing documentation, arranging schedules, planning orientations and onboarding. This involves documents for the College of Physicians and Surgeons of Ontario, the University of Toronto, and the Canadian Medical Protective Association.
- Acts as a key communication link between medical and non-medical staff both through correspondence and through the administration of various meetings and forums intended to ensure collaboration.
**Qualifications include but are not limited to**:
- Post-graduate education specifically in Administrative Studies or equivalent
- Excellent knowledge on Word, Excel, PowerPoint and literature searches
- Excellent knowledge on MS Outlook, especially in calendar management and zoom invites
- Experience working as an administrative secretary to Director/HOD is preferred
- Superior communication skills (verbal and written) is required
- Working knowledge of time zones and the ability to understand and respond to the needs of international clients
- Ability to prioritize workload and work within a fast-paced, deadline driven environment and ability to think and plan independently, but also work in a team environment
- Ability to respond and resolve critical issues quickly
**Salary**: $26.51-$28.11 per hour
