Reporting to the **Director, HR & Operations**, the **Office Assistant / Receptionist** assists all functional areas of the business by providing receptionist and general administration duties at Shaftesbury. This role is responsible for a number of tasks, such as:
- Take accurate and informative messages for CEO, staff, and guests
- Maintain phone system and correspond with third-party IT provider
- Provide general administrative and clerical support
- Schedule meetings in the Shaftesbury calendar and organize conference calls
- Greet visitors and clients and help direct them to their meetings
- Offer and provide beverages to visitors
- Arrange lunches for boardroom meetings, staff lunches, and assist with meeting lunches and for the CEO when required
- Make coffee throughout the day and stock all kitchen supplies
- Ensure the kitchen is clean, start the dishwasher at end of day, remove garbage if required and clean appliances when required
- Ensure the reception area, meeting rooms, and common areas are clean and tidy
- Assist the CEO when her Executive Assistant is unavailable
- Send and receive courier packages
- Distribution of mail
- Stock copiers with paper supplies
- Photocopy for staff members when required
- Check and order office supplies and ensure that the supply cupboard is well-organized
- Notify the operations manager if equipment is malfunctioning
- Assist with the organization of outside storage facilities
- Pickups and deliveries in personal vehicle (mileage paid by Shaftesbury)
- Update the company address book and general office information employee lists
- Assist colleagues by uploading and downloading Shaftesbury masters
- Assisting other departments when needed
- Prepare workstations for new employees
- Discuss any office purchases with the operations manager
- Other ad hoc duties as required
Job Requirements
- University or college degree or equivalent experience
- Regular access to a vehicle and valid driver's licence
- Excellent written and verbal communication skills
- Positive attitude and willingness to assist others
- Competency in MS Office Suite
- Tech-savvy
