Reporting directly to H1 and H2 Engineering teams, the Capital Project Coordinator will be responsible for all administrative duties related to the funding requests, delivery and coordination of Capital Projects as well as reconciling expenses, arranging travel and meetings for the team.
Other responsibilities will include compiling project status for reporting, extensive document control within the company ShareFile sites and helping to ensure Quality Assurance and Control within the Capital Engineering teams.
This role will involve keeping files up to date including site drawings, company standards, commissioning, and squad check procedures.
**So, what’ll you be doing?**
- Attend Daily/weekly huddle meetings with both the H1 and H2 Teams to keep up to date with tasks and projects the team requires.
- Submitting, tracking, and compiling approvals for Project Funding Requests (PFRs) for all engineering projects. Creating the projects in the company purchasing system and document control (H1 Team).
- Travel Arranger for H1 and H2 Teams - Approval requests and online bookings or collaboration with travel agency
- Reconcile expenses in CentreSuite and submit for approvals
- Document control:
- Receive and acknowledge transmittals from consultants and vendors
- Track revisions (for drawings and standards) in Master Document Registry
- Uploading documents to appropriate folders in ShareFile sites.
- Distribute to project team for review and redlining and collate review copies
- Return transmittals to consultants and vendors according to required turnaround time
- Meeting arranger/facilitator - agenda development, note/minutes taking, follow up/tasks/reminders and next steps
- Assist team with calendar management, create meetings, etc.
- Collect project status and information for reporting where needed
- Administrative support for both H1 and H2 Capital teams
**So, what are we looking for?**
- 1+ years in similar office environment
- Excellent organization, prioritization and time management skills
- Excellent customer service skills
- Tactful and effective communicator, both oral and written
- Excellent interpersonal relations and a demonstrated ability to work with others effectively
- Demonstrated ability to prioritize tasks based on comparative importance and urgency
- Demonstrated, working ability with MS Office Suite, including Outlook, Word, Excel, PowerPoint and SharePoint as well as Adobe Pro
- Ability to pay attention to details, multi-task and solve problems under a high energy and changing environment
- Proven ability to work with mínimal supervision and direction and creatively problem solve
- Must be able to show proven record of responsibility and judgment including exercise of discretion and confidentiality
- Proven commitment to OneSafeDrax, both personally and through positive influence on all stakeholders.
