Receptionist and Administrative Assistant

**Overview**
**Responsibilities**
- Answering and directing incoming phone calls while managing a multiline phone system.
- Managing incoming and outgoing mail, courier services
- Maintaining a professional and organized workspace
- Supporting office operations with administrative tasks such as filing, monitoring office supplies, placing orders as needed
- Go to banks to deposit cheques if needed
- Perform data entry tasks accurately, maintaining up-to-date records within our computerized systems.
- Ensuring appropriate turnaround time on all data entry
- Communicating with Vendors to ensure purchase orders and invoices are received on time and accurate
- Send purchase orders to Vendors, and entering invoices to Sage Paperless Construction software system
- Monitoring and updating existing data when required
- Ensuring code costs to proper jobs with correct cost code
- Maintain an organized front office area, ensuring all materials are stocked and readily available.
- Set up new employee in Vericlock System
- Downloading and entering employee hours from Vericlock to Sage 100 Contractor
- Reconcile vendor invoices and make payments
**Requirements**:
- Proven experience in customer service roles;
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Proficient in data entry with attention to detail to ensure accuracy in all records.
- Excellent phone etiquette and interpersonal skills for effective communication with clients and team members.
- Strong organizational and record-keeping skills
- Intermediate knowledge of office 365 outlook and MS Office work and excel
- Ability to proofread documents for clarity and correctness.
- A proactive attitude towards problem-solving and a willingness to learn new systems.
- Familiar with Vericlock, Sage 100 Contractor and SPC are plus

Pay: $22.00-$24.00 per hour
Expected hours: 20 per week
