The Parts Advisor encompasses supplying the required parts and accessories to retail and wholesale customers and technicians, receiving and storing parts, and the accurate performance of designated administrative duties.

**Duties and responsibilities**

**Customer Relations**
- Promptly meet and greet parts customers in a friendly and courteous manner.
- Listen to customers’ reasons for requesting certain parts and accessories.
- Offer appropriate parts or accessories to satisfy customer requirements.
- Provide accurate quotes for all parts or accessories recommended.
- Handle minor customer complaints and/or misunderstandings tactfully, promptly and with genuine concern for the customer’s problem.
- Refer customer complaints that cannot be satisfied at the parts advisor level to the parts manager.
- Make policy adjustments within established guidelines and budgets
- Answer incoming telephone calls promptly and courteously.
- Make every reasonable effort to make the parts purchase experience as pleasant as possible for the customer.

**Parts and Accessories Sales**
- Sell parts and accessories suitable to the customer’s needs.
- Assist the customer in determining the right parts for the job.
- Contact potential new wholesale customers and ask for business.
- Meet or exceed retail and wholesale sales objectives set by management

**Training**
- Attend/Complete training courses as directed by Parts management
- Review all applicable parts & service bulletins and other technical publications.

**Administration**
- Ensure customer information on file is accurate and update as necessary.
- Prepare and maintain invoices for retail and wholesale parts and accessories sales.
- Maintain a special order follow-up system.
- Maintain the special order shelf
- Return special orders not picked up by the predetermined return date as per department policies.
- Record lost parts sales.
- Complete the parts portion of service repair orders.
- Perform other administrative functions as directed by parts manager.

**Parts Ordering and Stocking**
- Add request for non-stock parts to daily order.
- Review the next day’s appointments with the service advisor to ensure all known parts are available.
- Advise parts manager of any irregularities in the stock.
- Receive parts shipments from TCI PDC’s and verify shipment against order.
- Report any discrepancy or damage to the parts manager.
- Stock parts according to the “7 Toyota Storage Techniques”.
- Update the inventory in the computer system.
- Conduct inventory cycle counts on a weekly or monthly basis as directed
- Advise parts manager of any discrepancies found during cycle count.
- Assist in conducting year-end inventory.

**Parts Picking**
- Check the parts slave printer for repair orders and review R/O’s for needed parts.
- Pick parts required and place in parts pre-pick bin corresponding with last digit of R/O.
- Receive technician parts orders and pick requested parts
- Pick parts required for additional needed repairs and deliver to technician stall.
- Pick and pack parts for wholesale orders.

**SPECIFIC RESPONSIBILITIES: Internal Parts and Paint Protection Film**
- Keep all display areas clean and stocked with inventory.
- Change out all display areas monthly.
- All glass door to be cleaned weekly.
- Replenish any displays immediately when items are sold from them.
- Pre-empt any seasonal changes for the displays, and stock them accordingly.

**Required Qualifications**
- High School Diploma or equivalent
- Ability to multitask, strong communication skills and great attention to detail
