**Integrated Youth Services (IYS) in Canada**:
Integrated Youth Services (IYS) is a dynamic movement across Canada and internationally that aims to build effective, youth-focused, and integrated services to address mental health, substance use, and related concerns among youth aged 12 to 25 years. IYS in Canada are demonstrating a global path forward in the implementation of evidence-based practices, evidence-generating practices, and the development of an equity and engagement-centered integrated data platform infrastructure and associated governance models.
**IYS Collaboration Centre**:
The Integrated Youth Services (IYS) Collaboration Centre unites networks across Canada to strengthen mental health and substance use services for youth aged 12-25. Supporting over 100 hubs — including close ties to the ACCESS Open Minds Indigenous Youth Network — the Centre promotes integrated care across health, education, employment, housing, and community supports. Guided by Truth and Reconciliation, equity, and youth engagement, it fosters knowledge sharing, leadership development, and scalable, evidence-based tools. As a Learning Health System, it uses data and real-world practice to drive continuous service improvement through a digital learning hub, national exchanges, and implementation support.
**Position Description**:
Reporting to the Director, Pan-Canadian Research and Implementation Initiatives, Integrated Youth Services Collaboration Centre the **Administrative Assistant** will provide administrative and clerical support to the research, data and implementation teams. The incumbent will be responsible for managing schedules, coordinating meetings and events, preparing correspondence and presentations, assisting with budget tracking, and supporting special projects across multiple national initiatives.
This is a full-time, contract position (12 months) with potential for renewal is located at the Centre of Addiction and Mental Health (CAMH) at 1001 Queen Street West.
**Key Responsibilities**:
- Provide comprehensive administrative support to the IYS Collaboration Centre implementation & research teams, including calendar management, meeting coordination, and travel arrangements.
- Support event planning and execution for project launches, workshops, and symposiums.Draft, edit, and format a wide range of documents, including correspondence, meeting materials, reports, policies, and presentations.
- Organize and maintain accurate filing and document management systems
- Coordinate virtual and in-person meetings, including preparing agendas, distributing materials, taking detailed minutes, and tracking action items.
- Assist with monitoring budgets, tracking project expenses, processing invoices, and preparing financial summaries.
- Support administrative aspects of research projects and national implementation initiatives, including logistics planning and communications.
- Serve as a liaison with national and provincial partners, and collaborators.
- Maintain confidentiality of sensitive information and ensure compliance with privacy and information management policies.
- Provide other administrative support duties as needed.
**Job Requirements**
- Bachelor’s Degree or College diploma/certificate in Business Administration, Office Administration, or a related field.
- Minimum of 3-5 years of senior-level administrative support experience, preferably in a healthcare, research, education, or nonprofit/public sector environment.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat; comfort with collaboration tools (e.g., MS Teams, WebEx) and project management platforms is an asset.
- Strong organizational, time management, and problem-solving skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills, with a high level of attention to detail.
- Ability to work independently with mínimal supervision in a complex, deadline-driven environment.
- Experience coordinating meetings, events, and supporting cross-functional teams.
- High degree of professionalism, discretion, judgment, and commitment to confidentiality.
- Familiarity with national or provincial health systems, research initiatives, or implementation science projects is an asset.
- Bilingualism (French/English) is considered an asset.
