**The Role**

Our artists live with disabilities of varying forms but come to our programs because they want a safe place to express themselves through a variety of creative outputs.

The AAS works closely with the Manager, Operations and Artist Services, in addition to other team members, to help implement administrative processes that track and support the advancement of our artists across various program departments. The team relies on the AAS to bridge a fluid connection between the creative work that is being done daily and administering and collecting progress reports to be submitted to PDD and other stakeholders.

**Tasks & Responsibilities**:
**A. Administrative Support (70%)**

1. Written and verbal communications as directed by the Manager, Operations or other project lead personnel.

2. Lead the Artist Goal Planning and Review (AGPR) process by:

- Developing and maintaining a tracking system that ensures all PDD artists complete Art Goal Planner and Review Documents at least once annually.
- Document and track artist participation across all departments on an ongoing basis (including but not limited to participation in exhibitions, performances, presentations, workshops, studio activity, and special projects and events); compile individual artist progress notes into annual Review documents.
- Disseminate Review documents to the appropriate Studio Faculty member or department lead for timely completion with individual artists.
- Organize and file all complete AGPR documents in an appropriate and timely manner so they may be easily located for reports.
- When requested, draft Individual Service Plan (ISP) documents using current AGPR data; disseminate ISPs to the appropriate artist, guardian(s), primary service provider, and PDD representative for signature and submission.
- When requested, coordinate and host ISP meetings with artists, guardians, service providers, PDD representatives, and other relevant supports.
- Every fiscal quarter, compile all AGP data into a Performance Management Framework (PMF) document to be submitted to PDD on time.

3. Work with the Manager, Operations & Artist Services to ensure the NaAC’s CET accreditation objectives are met, including the implementation of mandatory staff training such as Non-Restrictive Practices and Non-Violent Crisis Intervention practices.

4. Report any safety concerns to the Safety Officer or the Manager, Operations and Artist Services.

5. Develop connections with artists across our multidisciplinary program departments.

6. Establish and maintain positive and strong relationships with key stakeholders, including artists and guardians, sister arts and disability organizations, funders, and international partners; leverage these relationships for the betterment of the NaAC and its artist community.

7. As requested, compile program data into reports to support fund development initiatives, program development, etc.

8. As needed, support program coverage in cases of staff illness, emergency, etc.

9. Other administrative tasks and duties as assigned.

**C. Practicum and Volunteer Support (30%)**

1. In consultation with Studio Faculty and the Director, Artist and Program Development, work with post-secondary institutions to recruit practicum students.

2. Act as the first point of contact for community volunteers and practicum students. Vet qualifications and ensure all necessary paperwork is completed and filed before start dates.

3. Direct the onboarding process in consultation with Studio Faculty ensuring all volunteers and practicum students are properly trained on direct service policies, studio processes, and NaAC’s code of conduct.

4. Work with practicum students to determine learning goals; coordinate and conduct check-ins, midterms, and final evaluations with students and representatives from partner institutions; seek progress updates from Studio Faculty on an ongoing basis.

5. Understand, contribute to, and promote the goals and vision of the organization; be aligned with the senior management team in demonstrating the NaAC standard for success, equity, and inclusion for all.

**D. Expected Behaviours**

- Demonstrate a positive attitude; be willing to resolve conflicts respectfully and in a timely manner
