The Materials Control Clerk maintains accurate documents, optimizes Epsilon's supply chain, and continuously improves processes. Job Duties & Responsibilities Coordinate and conduct the responsibilities outlined below, as directed by the Manager. This includes directing workflow with other members of Shipping, Staging, and Purchasing, and reporting the status to Epsilon Team Members. Customs Documents Compliance - Collecting and maintaining a database of USMCA/CUSMA documents for applicable materials, COO (Country of Origin) certifications, and MTRs (or equivalent) for steel, aluminum, and copper materials and derivatives as defined by customs - Reaching out to vendors to acquire documents - Verifying the documents are filled out correctly and signed - Ensuring that gathered documents are still valid for use in customs documents (staying within the limitation period of one year less one day), and if not, gathering ones which are up-to-date - Ensuring documents are organized and searchable by Epsilon when required for customs on either side of the border **Shipping & Receiving**: - Follow Epsilon shipping and receiving procedures - Oversee the packaging of all customer items, ensuring items are identified properly with appropriate customer information and documents that align with shipping lists - Facilitate transporting materials across the United States and Canada, including: - coordinating with freight forwarders, carriers, and customs brokers to arrange transportation and clearances for international shipments - ensuring compliance with customs regulations - assembling documents requirements for international shipments - Receive incoming materials and products, verifying their accuracy against purchase orders and packing lists - Process shipping purchase orders and receive as shipments are completed - Liaise with the Purchasing Department to resolve any receiving discrepancies - Prepare and maintain shipping and receiving documents, including bills of lading, shipping manifests, customs paperwork, Material Test Reports, and packing slips Materials Verification - Work with the Materials Coordinator and the staging team to ensure required materials have been selected and staged accurately - Document shipments and verifying materials have been packaged securely for shipping Supplier Relations - Maintain good working relationships with Logistic Solutions and vendors Process Improvement and Quality Control - Advise supervisor of product quality and compliance problems Customer Service - Collaborate with other departments General - Provide training, guidance, and support to team members - Attend meetings, draft minutes, and update agenda(s) - Other related duties **Job Qualifications**: - One year community college diploma - Warehouse, shipping, or logistics experience, of at least one year - Enterprise resource planning (ERP) experience (Genius experience preferred) - Attention to detail - Interpersonal, communication (oral and written), organizational, and problem-solving skills - Able to work under pressure - Attention to detail - Able to meet tight deadlines - Knowledge of inventory control practices and equipment operating principles and procedures - Proficiency in MS Word, Excel, Outlook, Teams and able to learn additional software quickly - Able to meet workplace attendance requirements - Able to meet the physical and sensory demands of the position **Core Competencies**: - Communication - Teamwork - Attention to Detail - Critical thinking - Problem solving **Contacts**: - Internal shop staff, engineering, suppliers, to answer questions, solve problems, escalate difficult situations **Working Conditions**: - Regular standing, walking, sitting, reaching, climbing or balancing, using fine motor skills. - Occasional light lifting or movement of components or materials - Exposed to various environmental conditions, such as extreme temperatures, fumes, chemicals, odours, noise and vibration ( >80%) - Utilize proper PPE by
