The purpose of the Sales and Marketing Administrator is to support the sales, marketing and executive team by providing a first-class administrative service and ensuring this activity is handled quickly and seamlessly

**Key Activities**
- Responsible for the travel administration for the sales and marketing team and other members of the executive team. Working with internal staff and external parties (airlines, hotel, conference organizers, agencies) to ensure all necessary plans are executed in an efficient and timely manner
- Support in the organization of travel and administration of sales trips, conferences, webinars and other sales related activities
- Ensure invoice are correct and tracked for budgeting purposes
- Collating, coding, and submitting expenses for Sales and Marketing team
- Creating reports based on dashboard metrics from CRM
- File and maintain MSAs including database and tracking of key dates and relevant information
- File and maintain Trip Reports
- Proficient with Microsoft Office and ability to pick up in-house systems
- Support staff on annual leave with communications
- Other duties as assigned

**Education**
- Post Secondary Education in a similar or related field

**Experience**
- Experience in a similar role

**Knowledge**
- Good organizational skills and attention to detail
- Excellent communication skills, including being confident in liaising with suppliers and other third-party contractors
- Ability to follows instructions, prioritize work activity and ensure deadlines are met
- Timekeeping and reliability
- Strong team player
- Exceptional attention to detail and accuracy
- Extremely trustworthy and professionally minded
- Ability to work under pressure and with tight deadlines
- Ability to write, read and speak Japanese proficiently is an asset
