**JOB OVERVIEW**
The Special Event Planner reports directly to the Executive Director at Jessie’s House. The Special Event Planner supports and works collaboratively with the administrative and fund development team to deliver events in the community. This individual will work collaboratively with co-workers, community partners, vendors, volunteers, and other event partners and stakeholders. The Special Event Planner must operate from a trauma-informed, decolonial, harm reduction, and anti-oppressive mode of practice.
**ESSENTIAL DUTIES AND RESPONSIBILITIES**:
**General**
- Develop, plan, and organize JMMF signature events as outlined in the fund development strategy, and, as directed by the executive director
- Develop, manage, and support 3rd party fundraising program
- Volunteer management and coordination for JMMF and 3rd party events
- Meet fundraising goals and deadlines
- Build and maintain relationships with event partners and stakeholders
- Support Foundation vision, mission, values, and strategic direction
**Duties and Responsibilities**
- Develop, plan, and organize JMMF Signature events; Break Free Run/Walk, Annual Golf Tournament, and 2 other signature events
- Develop, manage, and support 3rd party fundraising program
- Plan and coordinate JMMF gaming and raffle activities/licenses
- Track, monitor and manage event budgets as directed by senior accountant
- Develop and execute detailed event plans, critical paths, registration tracking, and day of production schedule
- Follow process and procedures
- Recruit, manage and coordinate volunteers for JMMF and 3rd party events
- Support Strategic Relationship Advisor with marketing and promotion of JMMF and 3rd party events
- Support Strategic Relationship Advisor with event marketing content for social media and website
- Prepare reports as directed by the executive director
- Attend staff meetings and training workshops at the request of the Executive Director
- Build collaborative, respectful, and professional working relationships with co-workers, clients, stakeholders, and community partners
**Facility Related**
- Maintain a high degree of safety, security, and confidentiality
- Support Executive Director in in the implementation of other programs, as requested by the Executive Director
The Special Event Planner will also complete all other duties as assigned by the Deputy Director and Executive Director.
**QUALIFICATIONS & EXPERIENCE**
- Post-secondary education in event planning, marketing, or project management, with preference given to applicants with 1 to 3 years of experience event planning within a non-profit environment
- Solid understanding of and connections in the event planning industry
- Demonstrated experience with planning mid to large scale events
- Superior interpersonal skills, good listening, and negotiation skills
- Sound judgment and decision-making capabilities and the ability to work independently and collaboratively
- A skill for building relationships with internal and external stakeholders
- Exceptional planning and prioritization skills, time management and organizational skills
- Proficiency in Microsoft office programs, writing reports, letters
- Demonstrated drive and initiative to accomplish results
- Self-motivated and ability to work independently
**WORK CONDITIONS**
- 30-35 hours per work, Monday to Friday flexibility required to work additional hours, evenings and weekends as required
- Some travel may be required
- Partial work from home, set up office accordingly, adhere to the confidentiality, proper use of equipment, and specified hours of work policy
- Moderate physical effort required to assist with events that could involve lifting, standing long periods of time and working in various climates. Pro-longed periods of sitting, computer use
- Moderate to extreme mental effort required to meet deadlines, ensure accuracy of data and entry into Client Relationship Management systems. Ability to handle and respond to occasional intense situations

- Valid Driver’s License, current Driver’s Abstract
