The purpose of this role is to oversee office facilities & reception and provide event coordination support for the office including the HR, Finance and Supply Chain teams. The incumbent will operate as the primary contact for building management & security, property & equipment maintenance, and office contracts.
**Responsibilities**:
Office Facility Management
- Supervise contracts, relationships, and service delivery of office equipment suppliers
- Evaluate suppliers and processes for optimal efficiency
- Manage contracts, services, and invoicing for parking
- Support and administrator capital projects (facilities)
- Supervise office supplies including stationary, groceries, coffee ensuring availability and managing cost
- Manage vendors to resolve service issues related to office machines and appliances, office furniture, printers, and general office maintenance (i.e., Air Conditioning, light bulbs etc.)
- Oversee office maintenance activities (HVAC)
- Liaise with property management to ensure office facilities are operating efficiently as well as operate as the primary contact for scheduling and communication related to building maintenance
- Manage corporate signage and offsite storage including retrieval requests
- Oversee office space plan and seating arrangements/security access to office suite and employee workspaces including security cards, digital locks, codes and after-hours building access
- Oversee cleanliness of space and equipment and all routine building maintenance
Shared Service: Administration/Coordination
- Administrative support for CFO and VP Supply chain
- Assist with travel bookings and expense reconciliation as required
- Coordinate onsite catering and employee events
- Operate as the primary back-up for reception
HR Coordination
- Organize office events and select company meetings/events (Town hall, holiday party)
- Office representative on health & safety committee and supervisor of office fire wardens
- Consolidate and assist in preparation materials for employee presentations
- Manage employee gift card program
**Requirements**:
- Post-Secondary Education preferred
- Minimum 2-3 years’ experience providing coordination and/or admin support in a service-oriented industry/environment
- Must be familiar with corporate office environment displaying tact, courtesy and discretion as needed
- Strong time management skills and the ability to prioritize and manage competing requests
- Strong organizational and communication skills (both oral and written)
- Exposure to office maintenance, building management would be an asset
- Excellent problem-solving skills and ability to take initiative
