Volunteer Coordinator

The Volunteer Coordinator will be someone who demonstrates strong empathy, integrity, and discernment and promotes the positive impact and purpose that volunteers and students have in the daily life of residents, staff, care partners, and Trinity Village operations. The Volunteer Coordinator oversees the volunteer/student programs at Trinity Village Care Centre by determining the home’s needs and the financial resources required to support the volunteer program and coordinating the recruitment, screening, orientation, training, evaluation, and recognition of volunteers.
**MAIN RESPONSIBILITIES**:
- Adheres to Trinity Village/LHKW's Mission, Vision, and Values, the Eden Alternative (Philosophy of Care), and Resident Bill of Rights and follows all organizational policies and procedures. and follow all organizational policies and procedures.
- Adheres to CARF Accreditation standards and Trinity Village/LHKW Strategic Plan and Goals.
- Adheres to the Code of Conduct and Ethics and ensures the health and safety of self, volunteers, and students.
- Enhances the positive impact and purpose of student placements and volunteers in the daily life of Trinity Village operations.
- Works in collaboration with all necessary departments to assess volunteer recruitment and recognition needs.
- Maintains professional standards and certification as required for the role of Volunteer Coordinator.
- Responsible for the management of the Volunteer/Student page on the Trinity Village website
- Report to the designated manager (s) of the area in which volunteers/students are located.
DUTIES AND TASKS:
- Develops and maintains all volunteer/student policies, procedures, orientation packages, and manuals.
- Develop a marketing plan for recruiting volunteers/students, including producing written communication materials (posters, brochures, invitations, announcements, memos, social media posts, and the Volunteer/Student page on the Trinity Village website).
- Organizes volunteer/student recruitment events, volunteer fairs, as well as large-scale and special events for volunteers. Attends and participates in volunteer-related events.
- Maintains all required records, audits, reports, and statistics in accordance with policies, procedures, and legislative requirements.
- Maintains educational records (Surge Learning) for all volunteers/students.
- Monitors volunteer/student performance and compliance with roles, tasks and duties, job routines, responsibilities, and policies through ongoing communication with volunteers/students and staff.
- Monitors trends on volunteer/student placements and reports to designated managers.
- Directly coordinates and communicates the placement of all volunteers/students with designated managers/teams.
- Implements appropriate performance measures and initiates discipline and termination as per Trinity Village policies.
- Maintains an accurate and updated database of all volunteers/students using Volgistics software.
- Develop SMART organizational goals for the volunteer department while considering the Trinity Village business /strategic plan and the Annual Wellness survey results (volunteer, resident, care partner). Reviews goals quarterly.
- Completes a mandatory Annual Review for the Volunteer Department per the Continuous Quality Improvement (CQI) process see CQI Manual.
- Maintains monthly CQI stats. Monitors trends and risk management
- Completes a mandatory monthly Volunteer Coordinator’s report.
- Distribute the Annual Volunteer Wellness Survey, summarize results, share celebrations and improvements.
- Seeks community opportunities to nominate Trinity Village volunteers/students for Volunteer Service Awards.
- Actively participates in local, provincial, and national community network groups such as but not limited to: Volunteer Waterloo Region, Volunteer Canada, local high schools, colleges, and universities.
- Collaborates with a multi-disciplinary team to gain current and specialized information regarding each resident, care approaches, and possible available resources.
- Actively participates and assists as required teams, committees, and special events such as (the Grand Parade, Golf Tournament, and Festive Market).
- Completes all mandatory training as assigned in Surge Learning.
- Prepares reports, presentations, and memos related to the role.
- Establishes and models strong customer service for programs, services, and events.
- Completes hiring, onboarding, orientation, development, and performance management, initiating discipline and, up to termination, appropriate performance measures for volunteers/students in conjunction with the Program Manager at Trinity Village Care Centre.
- Ability to manage the Volunteer page on the Trinity Village website and keep it updated with current volunteer/student opportunities.
- The Volunteer Coordinator is an active Diversity and Inclusion Committee member at Trinity Village.
- Other duties as assigned.
