CityState Consulting Group is an urban planning, architecture, and project management firm based in Port Moody, BC. Founded in 2013, we help property owners, developers, and municipalities navigate complex zoning, land use, and building approvals to create thriving, sustainable communities.
Our team works on everything from seniors’ housing and small-scale multi-unit infill (SSMUH) projects to large master-planned communities and heritage restorations. We’re a tight-knit, collaborative group of professionals who are passionate about shaping better cities — and we’re looking for someone who will be the welcoming face and organizational backbone of our office.
**About You**
You’re proactive, resourceful, and love keeping things in order. Whether it’s following up on payments, supporting the team with forms and filings, or greeting guests at the door, you bring energy and professionalism to everything you do.
**What You’ll Do**
- Be the first point of contact — greeting clients, tenants, and guests with a friendly, professional attitude.
- Draft and proofread professional letters, invoices, and correspondence.
- Handle **basic bookkeeping tasks**: track payments, reconcile accounts, issue invoices, and follow up on overdue payments.
- Make courteous and professional **collections calls** to clients and tenants.
- Book meetings, manage calendars, and coordinate appointments.
- Support the management of our co-working space and maintain a welcoming, organized office environment.
- Keep office software, subscriptions, and filing systems (OneDrive, Office 365, etc.) up to date.
**What You Bring**
- 3-5 years of experience as an **Office Receptionist, Bookkeeper, or Administrative Assistant**.
- Strong organization and multitasking abilities with attention to detail.
- Proficiency in **Microsoft Office** (Word, Excel, Outlook); experience with QuickBooks or similar is an asset.
- Friendly, confident, and professional demeanor with a client-service mindset.
- A proactive, self-directed attitude — you don’t wait to be told what to do.
**Bonus Points**
- Interest in **urban planning, real estate, or design**.
- Experience in **bookkeeping, tenant management, or HR administration**.
- Familiarity with design tools like InDesign or Canva.
- Comfort with project coordination, research, or data entry.
