**POSITION VACANCY**: Materials Management

**POSITION**: Full -Time Materials Management Clerk

**HOURS OF WORK**: 7.5 Hr Shifts; Days (Monday to Friday 8 AM to 4 PM)

**Summary**:

- Acquire and assess purchase requisitions which are received daily for products, supplies, equipment and or services for all departments except the Warehouse
- Review requisitions for accuracy
- All Rush orders are confirmed verbally with the vendor and then delivery information is communicated back to the end user
- Follow up on next day rush orders to ensure critical items are received in a timely manner for patient care. - Co-ordinate deliveries as needed with private courier services for same day shipments.
- Follow up with vendors on back orders, and work with end users to communicate delivery information to ensure needs are met.
- Acquire proof of delivery (POD), working with GRH Receiver and end user, to resolve any shipping issues.
- Monitor and take necessary action to ensure successful transmission of Purchase Orders. This entails contacting the vendors and communication with the Data Analyst and I.S. if applicable.
- Use word processing, spreadsheet, INFOR and other software programs.
- Give full attention to each customer and maintain a sense of urgency when dealing with that customer. Must keep the customer well informed about the status of their order.
- Work collaboratively with Receiving staff, Accounts Payable staff, end users and Vendors to resolve back orders and any other delivery issues such as lost products, damaged product received, short shipments, over shipments, standing order shipments, incorrect product received, pricing errors and returned product.
- As updates are received from the vendor as to the status of the delivery of the goods, the Purchasing Clerk must update the end user of the status promptly as well as update the system with the most recent information and add a note to the Purchase Order in the system.

**Qualifications**:

- 2 year Community College Diploma with a focus on Supply Chain or Business is Preferred
- 2 Years’ experience in purchasing is required
- Experience working in a hospital setting is an asset; health record department preferred - Excellent communication, computer and organizational skills
- Knowledge of Word, Excel, Microsoft
