**ABOUT OCEAN ACTION GRANT**
The **Ocean Action Grant **is a micro grant that will provide 150 youth across Canada with funding to lead an individual or collaborative 3-month project that contributes to positive change for the environment.
Projects must address climate change, plastic & pollution, or overfishing either directly (ex. reducing reliance on single-use plastics, restoring habitats, improving access to sustainable seafood, etc.) or indirectly (ex. encouraging nature connectedness, promoting accessibility & inclusivity in environmental spaces, raising awareness of environmental issues, combating climate anxiety & eco-grief, etc.)
Grantees are expected to spend 5-10 hours/week working on the program to meet the deliverables, and will benefit from:
- Funding amounts include
- 50 grants of $250
- 50 grants of $500
- 25 grants of $1,500
- 25 grants of $3,000
Participation in the program is limited to Canadian citizens, permanent residents, or persons with official refugee status between ages 15-30 that are residing in Canada at the start of the program.
**ROLE OVERVIEW**
**KEY ACCOUNTABILITIES**
- PERFORMS A VARIETY OF ADMINISTRATIVE FUNCTIONS AND SUPPORTS PROGRAM COORDINATION AND DELIVERY BY:_
- Supporting the promotion of the Ocean Action Grant;
- Hosting monthly engagement sessions with prospective applicants and youth serving organizations;
- Creating and delivering participant acceptance and recognition packages and communications;
- Ordering supplies, arranging shipping and managing mail;
- Liaising between youths and Ocean Wise departments including finance and IT services.
- P_RESERVES, ORGANIZES AND MANAGES RECORDS AND DATA BY:_
- Implementing and maintaining records management systems for the program including data on participants, service hours, youth projects, partner information and contact information;
- Maintaining security and confidentiality of records;
- Coordinating evaluation initiatives including collection of data from participants and community partners;
- Preparing evaluation summary reports as instructed;
- Contributing information to regular financial and activity reports.
- LIAISES WITH FINANCE AND IT BY:_
- Support with disbursement and tracking of microgrants to participants;
- Communicate deadlines and expense reporting requirements to participants;
- Coordinating efficient processing of invoices, purchases, and expense reports;
- Acting as the main point of contact for youth for all microgrant matters including providing cash advances, submitting expense reports, disbursing holdbacks, and submitting final reports;
- Reviewing and monitoring financial reports for accuracy.
- CONSCIOUSLY IMPROVES OCEAN WISE AND ITS PROCESSES BY_
- Participating as an active member of the Youth & Education Department including attending meetings, contributing to projects, and supporting programs when possible;
- Promptly following emergency protocols;
- Maintaining and supporting organizational safety standards;
- Continually improving Ocean Wise’s impact on the environment and greening of operations through support of EMS protocols;
- Actively demonstrating Ocean Wise’s values and code of conduct;
- Abiding by all organizational policies and procedures;
- Performing additional duties as required.
- QUALIFICATIONS_
**Education and Experience**:
- Demonstrated experience in an administrative role; or post-secondary diploma or certificate in a related field; or appropriate combination of education and experience;
- Demonstrated experience managing data using Excel and other data management software;
- Experience working with volunteers, youths and/or the public is an asset;
**Technical Competencies**:
- Excellent customer service skills and strong commitment to the Youth Programs experience;
- Strong organizational and interpersonal skills;
- Strong oral and written communication skills including the ability to communicate complex information in a simple and clear manner;
- Detail oriented; multitasking, procedural, and logístical skills;
- Strong competency in the Microsoft Suite, particularly Excel and other numerical data management platforms
- Ability to work independently;
- Strong competency with budgeting, financial calculations, and accounts liaising;
- WORKING CONDITIONS_
- Working from home in accordance with Ocean Wise’s current COVID-19 protocols.
- The position is primarily non-physical; some lifting/carrying of loads up to 25 kgs at a time;
- Works frequently under pressure, with deadlines and shifting priorities that are often not under the incumbent’s control.
