**Your Mission**
We’re looking for a **proactive and detail-oriented Administrative Assistant** to keep our fast-growing startup running smoothly. You’ll be the operational backbone supporting the team with **HR**, **accounting**, **payroll**, **logistics**, and **day-to-day admin tasks**.
This is a key role for someone who thrives in a fast-paced, evolving environment and is excited to be part of a startup shaping the future of AI.
**Responsibilities**
**Office & Executive Support**
- Maintain internal documents, calendars, and schedules
- Support leadership with meeting coordination and communication
- Prepare reports, internal communications, and presentations
**Accounting & Finance**
- Assist with basic bookkeeping and monthly expense tracking
- Process invoices, receipts, and vendor payments
- Coordinate with our external accountant for monthly closings
**HR & Payroll**
- Maintain employee records and HR documentation
- Support onboarding/offboarding processes
- Assist with payroll processing and government filings (e.g. CNESST, Revenu Québec)
**Operations & Tools**
- Manage subscriptions and SaaS tools (e.g. Notion, Slack, Google Workspace)
- Help with document and contract management
- Provide general administrative support to different departments
**Requirements**:
- 2-4 years of experience in an administrative, operations, or finance role
- Excellent organizational and multitasking skills
- Strong written and verbal communication (French and English)
- Comfort with tools like Google Workspace, Notion, Excel/Sheets, and Slack
- Basic knowledge of accounting principles and HR procedures
- Ability to work independently and manage shifting priorities
- Experience in a startup or fast-paced environment is a big plus

Votre mission
Nous recherchons un(e) assistant(e) administratif(ve) proactif(ve) et rigoureux(se) pour assurer le bon fonctionnement de notre startup en forte croissance. Vous serez le pilier opérationnel de l’équipe, en apportant votre soutien sur les sujets RH, comptabilité, paie, logistique et tâches administratives quotidiennes.
Ce poste clé convient parfaitement à une personne qui s’épanouit dans un environnement dynamique et en constante évolution, et qui souhaite contribuer à façonner l’avenir de l’IA.
Responsabilités
**Soutien administratif et à la direction**
- Gérer les documents internes, calendriers et plannings
- Assister la direction dans la coordination des réunions et la communication
- Préparer des rapports, communications internes et présentations
**Comptabilité & Finance**
- Aider à la tenue de livres et au suivi des dépenses mensuelles
- Traiter les factures, reçus et paiements fournisseurs
- Collaborer avec notre comptable externe pour les clôtures mensuelles
**Ressources humaines & Paie**
- Tenir à jour les dossiers employés et la documentation RH
- Appuyer les processus d’intégration et de départ
- Aider au traitement de la paie et aux déclarations gouvernementales (ex. : CNESST, Revenu Québec)
**Opérations & Outils**
- Gérer les abonnements et outils SaaS (Notion, Slack, Google Workspace, etc.)
- Aider à la gestion des documents et des contrats
- Fournir un soutien administratif général aux différents départements
Profil recherché
- 2 à 4 ans d’expérience dans un rôle administratif, opérationnel ou financier
- Excellentes compétences en organisation et en gestion de priorités
- Excellente communica
