This administrative support role assists the Sales Manager in the residential sales program by helping keep the sales program organized, functioning and well-supplied.
You will work closely with the Sales, Marketing and Construction and Development teams to help them achieve their goals. This is an opportunity to work with a high-energy, collaborative, and customer-focused team
**Responsibilities and Duties**:
You will be working closely with our external team of sales professionals to monitor, measure and enhance our program and processes. Some of your tasks will include:
- o Monitor home sales programs and update daily/weekly/monthly reports
- o Create and distribute weekly sales updates to multiple teams
- o Review and update legal documents as needed (Agreement of purchase and sale, reservations agreements)
- o Review Offer Summaries with Sales Manager and CFO
- o Coordinate daily sales inquiries received through corporate channels
- o Oversee relationships with external business partners, such as legal and sales teams
- o Facilitation, documenting and updating of Standard Operating Procedures for the Sales Program and flagging areas that are out of compliance
You will add value to our marketing efforts by:
- o Tracking and ensuring all frontline sales teams have printed collateral
- o Ensuring project websites are accurate and updated as needed
- o Contributing to brand identity projects for new residential communities
- o In collaboration with Customer Experience team, work to understand Parkbridge customer demographics to help drive the business, customer retention and attraction of new customers using survey analytics
Liaison with Construction and Development Teams:
- o Attend Project Status meetings for new and existing sales programs
- o Work closely with Construction coordinators on Schedule B creations for new projects and updates. Assure all changes are communicated across the sales programs,
- o Assist the Warranty team in addressing any issues that may change home specs or home options and upgrades
You will support our financial teams in the following areas:
- o Track financials throughout the year to ensure budget compliance
- o Review statements to ensure accuracy; liaise with teams to complete updates as needed
- o Submit for payment sales related invoices from suppliers and external partners. This includes external partner commissions, homeowner and co-broker referral programs.
- o Confirm and adjust yearly rent increases for new home sales, ensure updates are made to the revenue workbooks, agreements and marketing collateral
- o Coordinate Revenue Workbook process, work with Sales Manager, VP, Brand, construction and Finance throughout all steps of the process
**QUALIFICATIONS**:
- 1-3 Years’ administrative coordination experience
- Strong technical skills (Excel, Word, Outlook, CRM)
- Experience with MS Excel is essential
- Attention to detail - must be able to review contracts/spreadsheets for accuracy
- College Diploma or University Degree preferred
- Knowledge and experience in Real Estate sales is preferred
