We are seeking a detail-oriented and personable Membership Administrator to join our team.
**Position Summary**:
We are seeking an organized, detail-oriented, and personable Membership Administrative Assistant to support the daily operations of our Club's administrative office. This role requires excellent communication skills, strong multitasking abilities, and a passion for providing top-tier service in a professional setting.
This position will be a combination of Administrative duties, Communications and Accounts Receivable.
**Key Responsibilities**:
- Provide Administrative support to members, guests and the various departments.
- Manage the membership database and ensure accuracy of all member information.
- Coordinate and execute onboarding for new members, including welcome packages and orientation.
- Handle day-to-day inquiries from members and prospects in a professional and timely manner.
- Maintain accurate billing and dues records.
- Process account payments.
- Work closely with the Controller and accounting team.
- Prepare reports on membership statistics, trends, and engagement.
- Uphold confidentiality and professionalism in handling sensitive member information.
- Handle filing, record keeping and other clerical tasks.
- Prepare and distribute monthly member statements and invoices.
- Process incoming payments (cheques, credit cards, electronic transfers).
- Monitor aging accounts and follow up on outstanding balances.
- Address member inquiries regarding billing and payments.
- Maintain accurate and up-to-date records in the club’s accounting system.
- Assist with month-end and year-end reporting as needed.
- Collaborate with other departments to ensure billing accuracy.
- Recommend improvements to A/R processes for efficiency and accuracy.
- Prepare and distribute electronic club communications.
- Other responsibilities as determined by the Controller.
**Qualifications**:
- Minimum 2 years of administrative experience.
- Exceptional communication and interpersonal skills.
- Strong organizational skills and keen attention to detail.
- Proficient with Microsoft Office Suite; Outlook, Excel, Word.
- Ability to work independently and collaboratively in a fast-paced environment.
- Accounting experience not required but considered an asset.
- Golf industry experience not required but considered an asset.
