We’re looking for a full-time **Advancement Research and Archives Officer** to join our team. Reporting to the Executive Director of Advancement and External Relations, you’ll provide strategic research support and data-driven guidance to identify and engage donors successfully along their giving journey at Bayview Glen. You’ll be responsible for managing the advancement databases, overseeing gift processing, prospect research, and institutional historic archives management.
- **What You’ll Be Doing**:_
**Advancement / Prospect Research (Fundraising Support)**
- Managing special projects and initiatives within the advancement area including: prospect research using various sources (databases, public records, internet) to identify new prospects, and evaluating their potential to support the School.
- Managing Advancement databases, ensuring the accuracy, completeness, and integrity of parent, alumni, donor, and prospect databases.
- Analyzing prospect data to identify high-potential prospects and developing priority lists.
- Developing and refining prospect management reports to support fundraising strategy development.
- Supporting the development and execution of donor recognition and appreciation initiatives
- Working closely with the Advancement team to prioritize prospects for engagement activities, ensuring alignment with organizational fundraising goals.
- Overseeing the processing, tracking, and receipting of gifts, donations, and pledges.
**Archives and Institutional History**
- Acquiring, preserving, and cataloguing historical documents, photographs, digital records, and artifacts.
- Promoting the use of archival collections through displays, programming, and community engagement.
- Managing special projects, displays and initiatives within the advancement area including: researching and producing content for the archives website, social media content, and other publications.
- **What You’ll Need**:_
- Post-secondary education in Library Information Management, fundraising, marketing, or equivalent.
- Minimum of three to five years’ experience in the non-profit sector with direct experience researching and writing for capital campaigns, major gift campaigns, and grant proposals.
- Experience in archival management.
- Demonstrated knowledge of research techniques, major gifts fundraising and moves management processes to build strong pipelines of prospective donors.
- Knowledge of preservation techniques for archiving materials, including documents and records in print form, photographs, artwork, including paintings and sculpture, digital information, têxtiles, objects and other materials.
- Knowledge of standard classification systems for organizing a wide range of materials.
- Proficiency with Microsoft Office and Raiser's Edge (or similar donor database system).
- Excellent written and verbal communication skills including the ability to write clear detailed reports.
- Knowledge and familiarity with research techniques for fundraising prospect research.
- Excellent organizational, planning and time management skills, with demonstrated ability to manage multiple projects with various timelines and handle competing and changing priorities.
