Team Lead, Immunization Records Coordination

**Job Description**:
**POSITION PURPOSE**
Reporting to the Program Manager, Data Management and Technical Support, the Team Lead is responsible for supporting the implementation and enforcement of the Immunization of School Pupils Act; supporting the implementation and annual review of immunization records for the Childcare and Early Years Act (CCEYA); monitoring and ensuring the timely, accurate entry of student immunization data into the immunization records information system by administrative staff; monitoring the team’s workload and program demands and prioritizing work; providing guidance, training, mentoring, coordinating, assigning, scheduling and reviewing the work of assigned staff and ensuring a safe working environment; providing assistance and support to the DMTS team and program manager; coordinate the work provided by DMTS team at public health immunization clinics.
**MAJOR RESPONSIBILITIES**
- Coordinates the public health support to the boards of education and private school administration staff to obtain timely receipt of student demographics to enable data cleansing and uploading of data into the immunization records information system.
- Plans and assigns staff to prepare requests for immunization information for distribution to parents/guardians of students in all York Region schools as per the Immunization of School Pupils Act (ISPA).
- Plans and assigns staff to prepare student immunization forms for distribution to parents/guardians of students for the school immunization program.
- Ensures the team completes timely accurate data entry of student immunization information to support ISPA enforcement in accordance with program plans.
- Works with external school boards to ensure timely receipt of student demographics by York Region Public Health to enable data cleansing and uploading of data into the immunization records information system at least twice a year.
- Ensures regular production and auditing of data entry reports to ensure high quality data entry is maintained by all staff.
- Liaises with external school boards, and operators of private schools and licensed child care centres to ensure timely receipt of student demographics and to accurately communicate updates regarding suspended students and the timely return to school of compliant student during ISPA enforcement processes.
- Responds to program related inquiries and resolves concerns, as appropriate.
- Provides work direction to Data Management staff and identifies staff shortages or delays in the completion of work; reassigns staff to support the various program initiatives and fluctuating work demands.
- Produces reports to support program delivery review.
- Performs other duties as assigned, in accordance with Divisional, Branch and Department objectives.
**QUALIFICATIONS**
- Successful completion of a Community College Diploma in Business Administration, Medical Office Administration, Database Administration or approved equivalent combination of education and experience.
- Minimum two (2) years experience of hands-on experience with public health data management systems and working with student immunization records in Public Health as well as demonstrated experience with high volume information systems and data bases.
- Strong accurate data entry skills in a high volume setting, organizational skills, and attention to detail.
- Possesses strong communications skills (written and verbal) and demonstrates an ability to effectively communicate with a variety of clients at all levels utilizing strong customer service skills.
- Ability to work in a self-directed manner within a collaborative team environment.
- Knowledge and demonstrated ability in corporate core competencies including communication, innovation, teamwork and collaboration and personal ownership.
