Office Manager

The Office Manager plays a critical role contributing to an efficient and profitable practice by being accountable for the smooth daily operations of both the front and back office. Responsibilities include managing staff, driving practice performance, motivating a passion for excellent patient care and supervising the business operations of the practice such as budgets, billing, salary, and expenses.
The main duties of the Office Manager are outlined, but not limited to the below:
- Human Resources duties such as hiring, training, scheduling, and supervising of clinical as well as administrative teams; ensuring a motivated, safe and professional environment
- Oversee collections and Accounts Receivable, maintaining monthly budgets and operating expenses for payroll, equipment, office expenses and sundries, including bank deposits, revenue posting, staff payroll and invoice processing, reporting production goals to Regional Managers, and adhering to the financial reporting schedule for accounting
- Support marketing and promotion initiatives to attract new patients and identify potential marketing opportunities
- Plan, schedule and lead monthly staff meetings and daily morning huddles to start each day with an action plan and a positive note
- Implement policies and procedures to ensure smooth operations and staff relations
- Ensure the facility and equipment meet health and safety (OH&S) requirements, are well maintained and the office is clean to present a positive and professional atmosphere
- Work with patients, assisting them with billing, and advising them on insurance and treatment plans
- Handle and maintain x-ray and sterilization requirements by delegating accountability for these tasks to team leads while following up to be sure compliance standards and procedures have been followed
- Ensure all office documentation is kept up to date in the ICP binder, Xray binder, and Protocol binder and maintain patient data according to regulations and company policies
- Ensure end of day procedures are fully completed each day and business is prepared for next day
