**Primary Objective**:Manage Contract Administration staff to further develop skills, assist in solving problems, manage workloads of staff, provide monthly progress updates to accounting and mentor team.
- Collect and review monthly progress updates from contract administration staff.
- Notify project managers of completed projects
- Flag overages to project managers on, site reviews or scope for additional fees
- Ensure contract administration staff are aware of site reviews allotted for each project
- Provide professional development to contract administration team, either formally or informally, individually or in a group through a team tech session.
- Complete billing summaries for projects in construction as they are assigned.
- Support contract administration team when problems arise or workload exceeds their capacity.
- Assist design teams to improve and strengthen mechanical contract documents.
- Review contract documents and specifications at start of construction, before tender flag any construction related concerns to the design team.
- Complete shop drawing reviews, RFI responses, progress draws and issue change orders and site instructions for all projects in your portfolio.
- Conduct field reviews at regular or pre-determined intervals during construction. Issue field reviews outlining general progress and deficiencies that require corrections for design or code purposes.
- Manage projects during construction to their successful completion.
- Coordinate with Architects, Owners and other disciplines on mechanical installation and changes.
- Attend regular site meetings as a representative of the firm in order to address construction or design issues.
- Develop and foster client relationships for long-term growth.
- Strive to accomplish company goals of quality workmanship by improving quality of designs and setting standards.
- Provide monthly progress updates on all projects within your portfolio to assist accounting and project managers.
- Track changes to scope and issue and track additional fees to the client.
- Give technical guidance to clients and other consultants.
**Performance Metrics**
- Utilization: Billable hours vs Admin, Bus Dev and Training
- Complete at least 30 professional development hour per year
- Maximum 5-day turnaround time on RFIs and shop drawing reviews are consistently met.
- Contract documents are taken to site each time and are consulted during filed reviews to ensure field reports identify incomplete or deficient work
- Field reviews are issued within 2 business days of field visit.
- Items missed on previous projects are caught on future projects.
- Performance of the manager is measured by the success of the team as a whole
- Contract administration scope is completed within the allotted budget on most projects
- Flag additional reviews and services to project managers to obtain additional fees
- Able to prioritize and manage time and activities effectively; as well as work independently
- Touch base with each team member on CA team weekly.
- Submit monthly progress updates, for billing and tracking of site reviews and additional fees, to project managers for all projects in construction.
**Experience & Qualifications**
- Diploma in Mechanical Engineering Technology, Degree in Mechanical Engineering, or Red Seal in skilled trade.
- Minimum 8+ years’ experience in mechanical construction administration.
- Detailed understanding of mechanical systems, including installation and operation of plumbing, HVAC, heating, cooling, air handlers, and fire protection. Ability to interpret construction drawings and specifications.
- Strong knowledge of current codes and standards such as the applicable plumbing and building codes.
- Excellent written skills and understanding of software programs (Microsoft Word, Bluebeam, Online Construction Management Software, etc)
- Experience in project management.
