The Site Administrator will be responsible for completing the daily tasks associated with the day to day activities of our onsite office. The Site Administrator will report to the Construction Manager.

**DUTIES & RESPONSIBILITIES (include but are not limited to)**:

- Assist with JDE site timekeeping, site attendance, and audit process of daily timesheets when needed
- Assist with onboarding and offboarding employees including rad data information
- Correlation of safety documents such as site inspections, observation, and coaching reports and more
- Assist with Security Clearances
- Control and administer on site seating assignments
- Support and track completion of management system required reads
- Update site organization charts
- Preparation of Productivity Reports
- Key in, edit, proofread, and finalize correspondence, reports, statements, invoices, forms, presentations, and other documents using a computer
- Assist Site Manager and Construction Manager when required
- Respond to telephone, in person, or electronic enquiries or forward to appropriate person
- Photocopy and collate documents for distribution, mailing, and filing
- Maintain and prepare reports from manual or electronic files, inventories, mailing lists, and databases
- Point of contact for cell phones, supplies, booking conference rooms, computer request, renewals, and lockers
- Process incoming and outgoing mail, manually, or electronically
- May sort, process, and verify receipts, expenditures, forms, and other documents
- Assist with attendance sheets and training administration
- Maintain site scorecard data and prepare on a monthly basis
- Understand project-specific filing systems, interfaces, and general document control processes and manage the flow of information accordingly
- Adhere to record retention policies and standards and comply with filing system
- Communicate relevant information and standards and comply with filing system
- Communicate relevant information to internal and external stakeholders when required
- Understand and comply with project retention policies and standards
- Occasionally record Meeting Minutes
- Assist with Covid management duties including booking testing for employees
- Other Project Level Administrative duties as required

**EDUCATION REQUIREMENTS**
- Completion of Grade 12
- Completion of a College program or related training an asset

**WORK EXPERIENCE REQUIREMENTS**
- 1-3 years of previous reception or administrative experience

**SKILLS, ABILITIES, AND OTHER REQUIREMENTS**
- Intermediate experience with Microsoft Office (Word, Excel, Outlook, Visio, Teams)
- Effective communication skills with individuals at all levels of the organization
- Able to work efficiently as part of a team as well as independently
- Able to learn new systems and processes advanced computer literacy
- Self-motivated, with a strong desire to succeed
- Enjoy working in a fast paced, multi deadline, team oriented environment
