Corporate Services Administrator

EMSCO is currently hiring a Corporate Services Admin based out of our Regina location. This role is an entry-level position responsible for answering phones, coordinating travel and meeting logistics, and maintaining the clear organization of safety documentation related to our operations as a heavy equipment sales, rentals, parts, and service dealership. The corporate services admin will work with functional line managers across our business to ensure a range of inspections are completed on time, while making certain action items get addressed promptly by the assigned personnel. This role will also coordinate bookings for ongoing safety training for staff to meet regulatory and client-specific requirements.
**Specific Duties**:
- Answer phones and utilizing a multi-line phone system to professionally route calls.
- Maintaining full, clearly organized documentation, using both electronic and paper files.
- Organizing and stocking supplies in the employee lunchrooms.
- Ordering office supplies for the Regina branch.
- Arranging safety orientations for new workers and contractors.
- Coordinate bi-weekly safety meetings with all staff, ensuring that relevant and timely topics for the audience are discussed.
- Ensure regular site inspections and internal audits are taking place to examine work activities and confirming processes follow legislative, environmental, and safety requirements.
- ArrAArrange formal annual inspections for building systems, such as fire alarms, sprinklers, cranes, and other equipment to maintain full safety certifications.
- Maintain all contactor management systems that EMSCO participates in with current and correct data.
**Requirements**:
- Minimum of 2-years administrative-related experience.
- Preference for experience using a multi-line phone system, but willing to train.
- The ability to identify problems / issues, generate solutions, manage conflict, and make sound decisions, at times under pressure, within the bounds of EMSCO’s established policies and procedures.
- Skilled in listening carefully, probing for clarity, and presenting information in an appropriate style.
- Strong computer skills.
