Ronald McDonald House Charities® South Central Ontario (RMHC®SCO) is part of a network of 15 Ronald McDonald Houses across Canada. We provide a _home away from home_ for families of children who are seriously ill and being treated at nearby hospitals. Built in 1993 and located next to McMaster Children’s Hospital, RMHC®SCO is independently owned and operated by Kid’s Care Oncology Central West Ontario and is governed by a volunteer Board of Directors, managed by a small staff team and supported by a full complement of dedicated volunteers.

RMHC®SCO expanded from our original 15-bedroom home to a 39-bedroom house and reopened in the Spring of 2012 to serve more families in their time of need.

**JOB SUMMARY**:
The Family Services Assistant reports to the Manager, Family Services and welcomes, registers and provides support to all families staying at RMHC®SCO as well as those using the Ronald McDonald Family Rooms at McMaster Children’s Hospital. In addition, the Family Services Assistant would supervise and aid volunteers on duty, handle any arising emergencies, perform various administrative tasks and oversee operations of House during their shift.

**GENERAL RESPONSIBILITIES**:

- Provide support to new and existing RMHC®SCO families
- Provide communication / support to volunteers on duty
- Provide risk management and emergency support
- Provide administrative support to full time staff
- Respond to critical repairs that emerge

SPECIFIC DUTIES:
**Families**:

- Coordinate new family referrals with hospital and families
- Assign rooms to accommodate families, assess priorities of families’ needs in that assignment
- Welcome and acquaint families to the House and its services
- Update registered family lists and daily waiting list
- Provide support for family inquiries as needed
- Complete check-out process and coordinate housekeeping for out-going families
- Respond to those who are having difficulty coping and refer to the appropriate resources
- Report matters of concern in a timely manner to the Manager, Family Services

**Administrative**:

- Complete end-of-day reports and deposits as per RMHC®SCO approved process
- Ensure proper procedures are followed for receipt of donations (monetary and gift-in-kind)
- Enter family files into database and update as needed
- Prepare family stats (inputting family info in database, collecting statistics)
- Perform admin tasks (such as mailing, fundraising letter, family ask letters, donation data base entry) as required
- Update daily communication tools with pertinent details from each shift

**Volunteer Management**:

- Supervise (and train) volunteers
- Provide backup Reception, Housekeeping and Kitchen support as needed
- Provide tasks for volunteers on duty (baking, cleaning, etc.)
- Update volunteer schedules and provide support to Volunteer Manager for unfilled shifts
- Provide backup support to Family Room and Family Room volunteers

**QUALIFICATIONS**:

- Excellent communication skills
- Minimum of 3 years working experience
- Excellent computer skills in the following programs: Database management, Word, Excel
- Photoshop skills are an asset
- Post-secondary education is preferred
- Proven excellence in organization, prioritization and attention to detail essential
- Satisfactory criminal record check is required

**SCHEDULING**:

- Flexibility to cover various shifts (approximately 2 to 3 shifts per week - 3 hours to 8 hours per shift)
- Saturday: 8:00 am to 3:30pm OR 3:00 pm to 10:00 pm
- Sunday: 8:00 am to 3:30 pm OR 3:00 pm to 10:00 pm
- Occasional Monday to Friday coverage between 8:00 am to 3:00 pm OR 3:00pm to 10:00 pm
- Must be available to work Statutory Holidays
- Must be available to work over the summer months (July/August)
