**About the opportunity**
The Operations and Travel Support Coordinator, coordinates and provides administrative support to CPA Canada’s corporate travel program, business continuity plans, business support services and vendor information. The Coordinator will also facilitate maintenance programs, assist with Policies & Procedures, manage Physical Records and support various Business operational functions as required.
**What you'll do**
In this role, you will be responsible for:
**Vendor Coordination**:
- Reviewing all documentation sent in from vendors to ensure there is clarity between what CPA has stated and what the vendor will be providing
- Creating scorecards for evaluation and comparison of the vendors
- Evaluating and recommending vendors that meet CPA Canada procurement requirements for business support services and other business units
- Managing logistics of goods and services and ensuring timelines are met for special projects that Business Support Services are involved in
**Travel Booking and Program Administration**:
- Ensuring all travel and accommodations are booked according to CPA Canada Travel Policies
- Administration of user access to the on-line booking tool (Concur)
- Supporting staff and members by booking travel & accommodations through CPA Canada’s business travel provider
- Assisting internal and external stakeholders with any issues regarding travel or accommodations that arise
- Negotiating contracts and ensuring that unused ticket credits are refunded or utilized before new travel is booked
- Liaising with the travel management company, airlines and hotels to discuss CPA Canada’s Travel Program
- Maintaining a positive, and professional attitude when providing support to internal and external stakeholders
**Operational and Departmental Administration**:
- Arranging Document Destruction and obtaining & filing Certificates of Destruction Documents
- Creating Teams sites and/or channels and ensuring documents are uploaded accurately
- Creating and updating the maintenance calendar
- Assisting in creating and updating polices and procedures for Business Support Services
- Verifying Business Support Services’ vendor’s information is current
- Processing, reconciling, coding, and balancing invoices in Concur
- Communicating billing discrepancies, obtaining back-up documents when required and ensuring invoices are adjusted accordingly
- Ensuring all documents are signed and submitted to AP in a timely manner
**Business Continuity Planning & Support**:
- Super User of the Business Continuity Software Interfacing
- Assisting and coordinating the implementation process across the organization
- Ensuring assigned business units plans are up to date and can be tested
- Verifying that all superusers have meet with their assigned business units and that their plans are in the system
- Preparing CPA Canada offices for employees and visitors to safely return to work while monitoring and updating plans as the pandemic evolves
- Assisting in creating and updating plans and procedures to mitigate risks to CPA Canada
**Corporate Records**
- Maintaining corporate records and inventory lists
- Ensuring accuracy, confidentiality, and safekeeping of agency records
**What we're looking for**:
- Post-secondary diploma program or equivalent skill level
- 5+ years of experience in travel management, Business Continuity, General Office Procedures, Customer Service
- Intermediate Microsoft Office Skills
- Familiarity using Travel Management solutions
- Proven analytical, organizational and time management skills
- Ability to work well in a fast-paced environment and demonstrate initiative
- Excellent verbal and written communication skills
- Ability to work both independently and collaboratively as part of a cross-functional team
