We are currently looking for a _**Property Administrator **_to join our growing site team
This full-time Property Administrator role is part of Tricar's Property Management team and is responsible for completing a wide range of administrative and clerical duties, including providing exceptional customer service, monitoring, and receiving rent payments, working with Residents to resolve concerns related to maintenance, disputes, or concerns related to their tenancy, while further providing support and assistance the site team and Property Manager at one of our larger communities within Tricar’s high-rise rental portfolio in London Ontario.
**Key Responsibilities and Accountabilities of Property Administrator**:
- On Site customer service, address concerns in timely manner to maintain resident satisfaction
- Answer telephone: assist with Resident inquiries, maintenance requests, follow up with concerns, etc
- Monitor and rent current and upcoming vacancies; ensure excellent customer service to all prospective tenants
- Rental enquiries: walk ins, or over the phone - book and complete showings, follow up with prospect, complete guest card
- Read, review and sign lease, addendums, move-in package paperwork with new Resident, process rental payment, program building directory, FOB
- Prepare move-in packages for new residents; ensure documents are accurate and up to date.
- Schedule and complete move-in/move out inspections with incoming and outgoing Residents.
- Attend turnover inspections with Property Manager and Operations Manager, note turnover jobs, deficiencies, and any damage/cleaning concerns; may require resident follow up prior to move out.
- Enter and maintain resident information, charges, parking, storage, and lease details into Yardi and ensure information is current and accurate
- Edit work orders to move process along - In progress, escalate after Resident moves out.
- Request and schedule cleaning contractor for upcoming suites
- Collect monthly rent and outstanding arrears; deliver rent reminders and calls to Residents
- Assist in preparation of tenant charge backs, documenting, pictures for reporting
- Deliver legal notices (N4, N1, N5, etc.); complete COS (Certificate of Service, when required)
- Attend Landlord Tenant Board Hearings as witness, when required
- Complete Incident reports in event of Resident incident.
- Schedule and monitor Amenity bookings
- Promote, plan, and participate in community events for Residents on-site.
- Maintain positive and proactive relationship with tenants and prospective tenants.
- Address building or suite cleaning concern(s), when required
- Other duties within the scope and purpose of the job, as requested by management
**Qualifications of Property Administrator**:
- 2+ years experience in customer service, leasing, property management, office administration in a related field
- Previous leasing experience as asset
- Knowledge of the Residential Tenancies Act, Ontario Human Rights Code and other applicable legislation
- Microsoft Office and Yardi Voyager experience an asset
- Ability to trouble shoot and problem solve effectively
- Work well independently as well as in a team environment
- Exceptional communication, organization, and time management skills
- Ability to multi-task, organize and prioritize
- Valid driver’s license with access to vehicle to attend properties as needed
