Mortgage Admin Assistant

**Admin/Client Care**
- Updating and communicating with clients, lenders, and referral partners throughout the client journey.
- Booking meetings and appointments for the broker.
- Managing, following up, and communicating with leads after the initial contact has been made.
- Maintain and update our CRM system to ensure accurate and up-to-date client information.
- Manage and organize receipts for efficient expense tracking and reporting.
- Manage our client care program.
- Client service - adding relevant dates in calendar/CRM for the client care plan.
- Coordinating and ordering gifts for clients and referral partners.
- Creating and posting content to social media.
- Assisting with other administrative or marketing-related tasks as required to support the broker in their business activity or enhance the client service experience.
**Fulfillment/Document Review**
- Collaborate with our internal mortgage underwriter to facilitate the mortgage approval process where help is needed.
- Ordering appraisals, title searches, and mortgage statements.
- Reviewing, labelling and saving client documents.
- Preparation of compliance document package (closing package) for broker to sign with client. Followed by setting up a meeting and sending via DocuSign to client.
**Requirements are based on two areas**:
**Working Requirements**
- Valid BCFSA sub-mortgage broker license is preferred, or willingness to obtain one.
- Minimum 2 years of related experience, preferably in the mortgage or financial services industry as a funder, fulfillment, underwriter, broker or broker assistant.
- Familiar with Microsoft Office Suite products, including Outlook, Excel, Word, and OneNote.
- Ability to maintain organization across files, communications, dates, processes, and updates.

- Use of judgment and analytical skills with the ability to solve problems and make independent decisions.
- Willingness to share ideas that would further enhance the service experience for our clients and referral partners, or ideas to streamline internal processes.
- Willingness to learn and ask questions to grow knowledge base and understanding of mortgages and underwriting processes.
- Open to feedback and implementation of ideas to increase efficiencies.

**Job Type**: Part-time
Pay: $21.00-$26.00 per hour
Expected hours: No less than 20 per week

Ability to commute/relocate:

**Education**:
- AEC / DEP or Skilled Trade Certificate (preferred)
**Experience**:
- Mortgage-related work: 1 year (preferred)
- Admin: 2 years (preferred)
Licence/Certification:
- BCFSA sub-mortgage broker license (preferred)
Work Location: Hybrid remote in Vancouver, BC V6H 1G7
