**Reports To**

Senior Property Manager

**Summary**

The Property Administrator/Project Coordinator is primarily responsible for the general administration and oversight of the property and to ensure that a superior level of co-operation, service and support is provided to Tenants. They assist the Property Manager with any additional tasks as required to ensure smooth operations each day. This individual will be responsible for maintenance and tracking, maintaining and expediting maintenance requests.

**Job Duties**

**Tenant Services**
- Promptly respond to resident issues and service requests
- Be available to residents for general inquiries about living in their suite, building and community
- Communicate with tenants and clients regularly to develop positive business relationships
- Provide excellent services to tenants, using a helpful and non-disruptive approach
- Resolve issues and complaints
- Assist with coordination of tenant move-ins and move-outs, as needed
- Direct tenants, the public and others in the event of an emergency within the property

**Administration**
- Provide information to residents and ensures all resident concerns are acted upon in a timely manner
- Draft collection notices, and monitor petty cash expenditures
- Ensure terms of the lease agreements are met and administer damages/security deposits and charges
- Provide Senior Property Manager with a list of leases coming up for renewal
- Enforce the terms of lease agreements, such as rent collection, rules and regulations, and following procedures of serving notices to residents
- Take in vacancy notices, review rent ready and vacancy reports, age receivables and rent roles
- Ensure all tenants have provided current insurance certificates that are in compliance with the lease agreement
- Attend hearings and support by creating files, preparing evidence, and gathering back-up materials
- Participate in the monthly Ownership Reports; request information from Property Manager and Accounting, compile and submit it Ownership
- Process Capital Quotes, prepare Purchase Orders, and maintain data in a tracking sheet
- Champion the tracking of budgeted versus recoverable items
- Complete all administrative functions relating to property management and operations as specified

**Accounting**
- Facilitate review of rent rolls and aged accounts receivables as required
- Process all correspondence as required under local housing laws and regulations

**Operations**
- Assist with day-to-day operations of the building
- Receive and schedule service requests
- Manage with ‘move-in, move-out’ procedures
- Report weekly vacancy and “big wins” for each property
- Assist with training on-site Hyphen team members (Property Managers, Building Operators, and Maintenance Associates) on operational procedures
- Other duties as assigned

**Requirements**:

- High school diploma or GED
- 2+ years of related experience in a customer service or similar role
- Interest or actively working towards their PM
- Flexibility to work variable shifts and on-call
- General accounting knowledge
- Knowledgeable of Relevant Landlord-Tenant Laws
- Strong customer service skills
- Professional demeanour with excellent communication skills
- A critical thinker with the ability to solve problems
- Self-motivated and able to remain calm and focused in high pressure situations
- High degree of integrity, discretion and confidentiality
- A highly organized individual who has an eye for detail and accuracy
- Must demonstrate strong multitasking skills: Able to allocate one's time effectively, able to handle multiple demands, tight deadlines and competing priorities
- Strong Computer Skills - Microsoft Office including Word, Excel & Outlook
- WHMIS certification is an asset

**Salary**: $50,000.00-$61,509.00 per year
