**POSITION: Member Services Administrator**
**DEPARTMENT: Safety Services**
**SUPERVISOR: Safety Services Team Lead**
**Overview**
Reporting to the Safety Services Team Lead this position is a key member of the Safety Services team, providing administrative support for the organization. You are essential to helping keep our operations running smoothly. Your responsibilities include handling receptionist duties, receiving and greeting visitors, registrations for safety training, and will be the key contact for CSNS member inquires.
**Skills and Qualifications**:
- One (1) year business course plus a minimum of two (2) years of related experience.
- Strong customer service skills and a professional demeanor.
- Collaborative team player who takes initiative to provide support to the team, has a positive attitude and enjoys implementing creative solutions.
- Demonstrate the ability to work independently in a busy and challenging environment, along with the ability to exercise sound judgment around any potential issues requiring a high degree of tact and diplomacy.
- Excellent organizational, communication (written and verbal) and interpersonal skills are essential.
- Quickly adapt to the unique database systems utilized by CSNS (Calvin, Acumatica).
- A solid knowledge of Microsoft Office 365, specifically SharePoint, Outlook, Word, Excel and Teams, is required.
- **Duties and Responsibilities**_
**Administrative Support**:
- Provides general administrative support to the team members, as required. Administrative support includes, but is not limited to:
- Taking customer payments and closing off debit machine each day
- Maintains Petty Cash and inventory of healthy office snacks
- Arranges and orders catering for staff events and meeting, when required.
- Greets customers in person, or on the phone, in a pleasant and professional manner.
- Screens calls and visitors for Construction Safety Nova Scotia, and allocates to the appropriate team member.
- Providing support to other positions at Construction Safety Nova Scotia as required
- Responsible for the administration of gas cards to CSNS team
- Support in maintaining CSNS’s database contains correct and updated information of our clients and members.
- Maintains hotel contracts for preferred rates
- Responsible for opening, sorting, processing, and distributing incoming mail on a daily basis.
- Appliesquality policies, procedures and work instructions and participates in the continuous improvement efforts.
- All assignments issued by managers are confidentialand are to be treated as such whether or not the manager indicates confidentiality is required. Assignments are not to be discussed with anyone other than the issuing manager.
- Performs other duties as assigned.
**Registrations**
- A primary contact for all training registrations including all course types
- In person, Online & Virtual
- Logging appropriate contact information for each student, should we need to make contact due to cancelation explaining prerequisites, location, time, cancellation policy, payment terms, sponsorship requests, and employment confirmations
- Provides clients with registration confirmations upon registration
- Maintains an ongoing student wait list and cancelation list of training courses
- Ensure instructor has most current registration list
- Set up virtual courses in Teams and send link/training material to participants
- Notify learners of cancelled courses and reschedules as needed
**Certificate of Recognition (COR) Administrative Function**
- Stamp all incoming COR Evaluations and record them in the logbook
- Receive all incoming COR Evaluations in our computer database and create invoice
- Set up all online COR registrations
- Receive and review all online COR Evaluation submissions
- Answer inquiries and provide advice regarding the COR certification process
- Initiate the COR certification process for companies; register trainees for the appropriate training, send follow up information and create a member service request form to the appropriate individual
