As we continue to grow, we are seeking a detail-oriented and experienced _**Administrative Specialist**_ _to join our head office team._
**Duties and Responsibilities**
- Provide the highest calibre of customer service and build rapport with tenants and vendors by actively listening and offering effective and timely responses and solutions in person and by phone.
- Provide support at the beginning of the month to process and accurately record various types of payments such as cash, cheques, and electronic payments including day-end balancing.
- Assist with day-to-day administrative tasks such as phone and electronic correspondence, ordering and stocking supplies, and receiving and processing work orders.
- Manage leasing inquiries and related paperwork.
- Monthly reconciliation of Pre-Authorized Payments before processing by the bank.
- Preparation of monthly residential and parking rent rolls for approval and posting.
- Preparation of annual notices of rent increase and related correspondence.
- Administrative oversight of biweekly pest control program including communications with tenants and the pest control company.
- Provide administrative support to the Office Manager and Director of Property Management and other departments at head office as needed.
- Provide backup support to other administrative positions as required for vacation and sick time.
**Qualifications**
- College diploma in Office Administration or equivalent post secondary education/certificate required.
- Minimum 3 years experience in office administration required.
- Knowledge of Microsoft Office is required.
- Previous experience in Property Management is an asset.
- Knowledge of YARDI is considered an asset.
- Strong organizational, interpersonal, and customer service skills are essential.
- Must have strong attention to detail and accuracy.
