About your Role
As a member of the Operations & Technology Team, the IT Projects Support Coordinator will play a key role in supporting cross-departmental IT initiatives. This role supports the planning and implementation of digital solutions that improve collaboration, information management, and operational efficiency across the organization. With a focus on SharePoint site development, document migration, and AI tool enablement, the coordinator works closely with stakeholders to align technology with business needs. By providing project coordination, system oversight, and user support, this role helps drive the organization’s digital transformation and ensures IT projects are delivered with clarity, consistency, and impact.
**What you’ll work on**:
- Create dedicated SharePoint sites for each department based on project requirements and end-user needs.
- Meet with department leaders to gather requirements and define permission structures and folder organization.
- Assess documentation in the existing SharePoint environment to determine relevance for migration.
- Migrate documents and materials to newly designed SharePoint sites, ensuring organization and consistency.
- Set up proper user access permissions and maintain information security standards.
- Design and build landing pages for each department’s SharePoint site (internal hub sites).
- Support the initial setup and training of a GenAI tool (e.g., Microsoft CoPilot) on Magenta’s new SharePoint environment.
- Pilot the use of AI tools across different departments (e.g., HR, Underwriting) for automation and productivity enhancements.
- Provide administrative support to ongoing IT initiatives and projects.
- Prepare and maintain project documentation, including schedules, status reports, and meeting notes.
- Audit IT systems and user access permissions as needed.
- Identify and recommend opportunities for system and process improvements.
- Coordinate logistics for project activities and meetings.
- Work closely with internal stakeholders across departments to ensure successful project delivery.
**What you should have**:
- Enrollment in a post-secondary program in Information Technology, Computer Science, Business Technology Management, or a related field.
- Strong communication (both written and verbal) and relationship-building skills.
- High attention to detail and accuracy.
- Enthusiasm for technology, collaboration tools (e.g., SharePoint, Microsoft 365), and emerging innovations like AI.
- Organizational skills with the ability to prioritize and manage multiple tasks.
- Willingness to learn, take initiative, and offer creative solutions.
- Experience with SharePoint or Microsoft 365 environments is an asset but not required.
- Interest or familiarity with project management practices is a plus.
- Ability to work independently and collaboratively within a remote team environment.
- Commitment to delivering a high standard of work while maintaining a positive attitude.
- Strong critical thinking and problem-solving abilities.
