We are currently looking to hire a:
**Medical Secretary - Hospice Palliative Care Program (HPC)**
1 - Full Time, Permanent (35 hours/week)
**Reporting To**:Manager - Community Health Teams
**Purpose**:
The Medical Secretary will provide organizational medical secretarial support for clinical and allied health staff within the HPC Team. S/he will greet all callers and visitors, take messages, provide accurate information regarding internal programs and services, external resources, and will link the person to appropriate internal and external personnel who can respond best to inquiries.
**Scope and Accountability**:
The HPC - Medical Secretary’s key role will be maintaining the overall welcoming tone of the reception area and responds effectively to problems that arise. In addition, s/he will cancel, book or rebook appointments and provide general administrative support to the team. The Medical Secretary will assist with scheduling palliative education sessions and complete data entry. The HPC - Medical Secretary will be required to open and close the building at times, following relevant security procedures. As the first point of contact in the organization, s/he must be sensitive to the barriers that many individuals face when accessing health care services.
**Key areas of responsibility**:
- Respond to phone calls and inquiries and redirect as appropriate.
- Organize and maintain clinical filing system (electronic and manual); creation of charts etc.
- Schedule client appointments as required and check clients in and out of appointments.
- Upload prescriptions, liaise with physician’s/Nurse Navigator’s and other staff as required.
- Work closely with Intake Nurse for any urgent referrals.
- Provide support to central access process for Palliative Care with partner Organizations.
- Assist and support Palliative Educational Events/Programs and Courses.
- Update resource and referral directory in EHR.
- Scan and file reports into EHR charts as they arrive.
- Fax, photocopy, scan, and file referrals.
- Assist with palliative care administrative needs for the team.
- Schedule palliative care education sessions as required and work with timelines for marketing, scheduling and etc.
- Perform Audits as required ie: Infection prevention and control (IPAC); Joint Health and Safety (JHS) & etc.
- Perform other duties as assigned that are reasonable within the scope of the job.
**Educational and/or Professional Qualifications**:
- Demonstrated knowledge, skills and abilities in medical administration, attained either a degree or diploma from an accredited university or college program or through an equivalent level of experience.
- Medical Secretary Certification from an accredited college.
**Level of Experience**:
- Three to five years medical secretary experience in a community health centre or office.
**Skills and Attributes**:
- Excellent written/verbal communication and interpersonal skills.
- Oral and/or written fluency in other languages relevant to providing service in the role would be considered an asset.
- Demonstrate problem solving, conflict management, and time management skills.
- Proficiency working with computers and medical software programs, i.e. Practice Solutions, Microsoft. Office, including MS Word, Excel, PowerPoint, and Outlook.
- Sensitivity and awareness of cultural, racial and socio-economic diversity within the community.
- Knowledge of hospice palliative care an asset.
**Significant Working Conditions**:
- Availability to work on short notice to cover sick leave and vacation time.
- Ability to work flexible hours including on-call tele-practice rotations evenings and weekends.
- Ability to travel across Scarborough to a variety of care settings.
- Valid driver’s license.
- Car required.
**Remuneration**: $22.39 - $25.33
**Band**:I
