**Qualifications**
Hold a Diploma of Vocational Studies in a specialty appropriate for the class of employment, or an attestation of studies recognized as equivalent by the competent authority and have six (6) years of pertinent experience.
AND
Have a thorough knowledge of office automation.
**Other Requirements**
- Must be bilingual
- Must have excellent knowledge and demonstrated ability in Microsoft WORD, EXCEL, ACCESS, POWERPOINT & Google suites
- Must have excellent interpersonal and communication skills
- Demonstrated ability to deal with the public in a professional manner
- Demonstrated above-average organizational skills and the ability to meet strict deadlines
- Demonstrated ability to work independently as well as effectively on a team
- Demonstrated ability to multi-task and work effectively under pressure
- Ability to treat documents with diligence while respecting confidentiality
- Must be willing to work additional hours during very busy periods
- Must be able to start work at 7:30 am
- Knowledge of PAIE GRH would be an asset
**Nature of the work**
The principal and customary work of an employee in this class of employment consists in organizing, coordinating and monitoring the work performed by their team composed of administrative support staff. This class of employment also includes employees who perform principally, and customarily highly specialized work characterized by the complexity1, expertise2 and autonomy3 required.
**Daily Tasks/Dossiers**
- Being the main point of contact for all caretaking and maintenance employees pertaining to human resource and payroll questions and concerns.
- Verification of caretaking absence line throughout the day
- Managing and entry of absences for all caretaking and maintenance personnel
- Maintain the equipment services ACCESS database for caretaking and maintenance vacations
- Scheduling and managing of replacement caretakers
- Coordination of overtime shifts
- Maintenance of Overtime Priority List
- Payroll entry for all a replacement caretakers
- Assisting in the movement of personnel/posting sessions
- Drafting of Human Resource Transaction Forms
- Preliminary processing of activity and expense, overtime, salary adjustment and school activity forms
- Managing the accumulated time dossier for caretaking and maintenance personnel
- The board wide programming of devices (key fobs, access cards and micro-tags) for card access entry on AVIGILON
- Managing of split shift merge dossier
- Drafting of letters and memos for the Assistant Director of Equipment Services
- Other related tasks
