**Basic Function**: Reporting to the Supervisor of Partnerships and Events, this position is responsible for providing support in the area of revenue generating group events program within the Partnerships and Event Branch. Duties include event support, client and billing support, promoting group events as well as support of other public and outreach events. This position will assist and provide support in implementing the approved Strategic Plan.

**RESPONSIBILITIES**

Supports the promotion of group events to new/external groups including event planners, tourism partners, corporations, associations, charities, etc.

Assists with providing estimates and quotations and help to develop proposals for client events based upon client’s requests.

Provides assistance by using various avenues to promote events including client meeting, cold calling, trade shows and networking.

Work closely with Marketing on sales and promotional materials (including social media and website) to support all group event programming.

Assist with the execution (on-site support and coordination)of the Zoo’s revenue generating group events programs including corporate programs, zoo days, birthday parties, weddings and VIP Events.

Update client database, revenue and survey tracking sheets as well as Group Event status reports.

Assist with client contracts and billing/invoicing.

Assist in follow-up with clients to ensure customer satisfaction.

May support the coordination and implementation of the Zoo’s year-round events.

May support the mascot outreach programs and when required, wears the mascot costume or escorts the mascot for various functions on/off site.

Assists in maintining Partnership & Events records, files and correspondence.

Ensures that the Supervisor and Partnership and Events Associate (Group Events) Grade 3 is aware of all work assignments and projects taking place within the Branch and keeps him/her informed of any problems that may occur, as well as the status of the assignments/projects.

Other related duties as requested by the Supervisor/Manager.

**QUALIFICATIONS**

Must possess, at a minimum, a certificate in Public Relations and Events/or Marketing, at the community college level, or the equivalent amount of experience and training.

Must possess previous experience in large scale group events planning,coordination and/or sales.

Must have demonstrated knowledge of event planning and ability to followup and secure sales.

Must have proven, exceptional interpersonal skills and strong organizational skills.

Must have demonstrated superb written and verbal communication skills using the English language.

Must possess a full G license with a good driving record.

Possess working knowledge of Occupational Health and Safety Act and WHMIS.

Fluency in French is an asset.

Must be capable of performing the physical demands of the job.

Must be able and willing to work on/off site as well as shifts, weekends and holidays.
