**About the Canadian Institute of Ukrainian Studies (CIUS)**

Established in 1976, the Canadian Institute of Ukrainian Studies is a global leader in the scholarly field of Ukrainian studies. In support of the University of Alberta and Faculty of Arts’ mission and values, CIUS is dedicated to the production, preservation, and dissemination of expert knowledge about Ukraine and Ukrainians in Canada and worldwide.

**Position**

Reporting to the Assistant Director, Research, this position provides general research administrative support to CIUS research-related activities. The term of the position will be from October 2025 to March 2027.

**Duties**
- Providing support for events, including the CIUS conference in October 2026.
- Undertaking travel, accommodation, catering, and other related bookings and arrangements.
- Engaging in correspondence in association with the 50th anniversary.
- Helping visitors hosted by CIUS with administrative issues that may arise.
- Addressing administrative needs such as the issuing of honoraria, reimbursements, purchases, and other financial transactions, as well as preparing of relevant contracts and forms.
- Providing assistance to CIUS Research administration, including soliciting and compiling information for grant announcements and reporting documents; managing the Research Awards portal, communications, and providing support for research-related inquiries.
- Assuming and developing record-keeping to ensure that both past and present documents and files are securely kept and readily accessible, while storage and other practices are observed, monitored, and appropriately realized; studies of FOIP policies.
- Participating as a CIUS representative in meetings associated with the 50th anniversary, engages in storage and record-keeping processes, and other related activities, and takes minutes.
- Supporting management in drafting initial Job Fact Sheets and providing support for the preparation and renewal of contracts.
- Assembling preparatory materials and documentation for meetings and events.
- Managing calendars and coordinating meetings and activities as required.
- Following up on action items arising from activities and meetings.
- Supporting activities resulting from the 50th anniversary events after their conclusion.

**Minimum Qualifications**
- Bachelor’s degree in Arts, Social Sciences, or related field.
- 3 years of administrative or related experience. Equivalencies will be considered.
- Ability to interact with multiple parties and prioritize urgent activities accordingly.
- Ability to work independently and as part of a dynamic team.
- Advanced English communication skills (oral and written).

**Preferred Qualifications**
- Ukrainian language proficiency (oral and written) is an asset.
- Non-profit experience (voluntary or paid) or previous engagement in academia and the Ukrainian community is an asset.
