**Key Responsibilities**:
**Reception Duties**:
- Warmly greet and welcome patients, fostering a friendly and professional atmosphere.
- Efficiently manage the clinic’s appointment schedule, including booking, rescheduling, and confirming appointments.
- Answer incoming calls, address inquiries, and direct calls to the appropriate team members.
- Handle patient registration, verify insurance information, and maintain accurate patient records.
- Collect payments, issue receipts, and assist with processing insurance claims.
- Maintain a clean and organized reception area.
**Administrative Support**:
- Assist in preparing and maintaining patient files, ensuring accuracy and confidentiality.
- Coordinate with healthcare providers to facilitate timely and efficient patient care.
- Manage correspondence, reports, and other essential documentation.
- Order and maintain office and medical supplies, ensuring adequate inventory levels.
**Clinical Assistance**:
- Escort patients to examination rooms and prepare them for consultations.
- Assist with basic clinical tasks, including recording patient histories, taking vital signs, and preparing medical equipment.
- Provide support during audiology tests and speech therapy sessions as needed.
- Ensure examination rooms are clean, well-stocked, and prepared for each patient.
**Other Duties**:
- Participate in team meetings and contribute to the continuous improvement of clinic operations.
- Adhere to clinic policies, procedures, and regulatory requirements.
**Qualifications**:
- High school diploma or equivalent required; post-secondary education in medical administration or a related field is an asset.
- Previous experience in a medical office or healthcare setting is strongly preferred.
- Excellent communication and interpersonal skills, with the ability to interact effectively with patients, healthcare providers, and team members.
- Strong organizational skills and attention to detail, with the ability to multitask in a fast-paced environment.
- Proficiency with office software (e.g., MS Office, Google Suite) and experience with electronic medical records (EMR) systems.
- Bilingual abilities (English, Hindi, Punjabi) are an asset, reflecting our clinic’s diverse patient base.
- Basic knowledge of web marketing and SEO is a plus.
**Working Conditions**:
- Part-time position to start, with regular office hours; some flexibility may be required.
- The role involves prolonged periods of sitting, as well as standing and walking during patient interactions.
