Overview:
**Administrative Assistant** role at our
**Markham, Ontario **office

This position is a standard
**Monday to Friday schedule**.

The Administrative Assistant is responsible handling incoming and outgoing phone calls, signing in and out visitors in the office and various other administrative duties. Your main role is to provide administrative support for customers, clients and claimants.

**Responsibilities**:
**ESSENTIAL DUTIES AND RESPONSIBILITIES **TO** PERFORM THIS JOB SUCCESSFULLY INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING**
- Handles and responds promptly to incoming calls, e
- mails or faxes from physicians or clients requesting information
- Communicates with physicians, clients and or examinees regarding any schedule changes.
- Coordinates ancillary services such as interpretation, chaperones, transportation, and or exam site rentals when needed.
- Ensures the appropriate steps are taken to cancel and/or reschedule services upon appointment change or cancellation.
- Completes reminder appointment calls to claimants and legal representatives.
- Provides support and/or coverage to satellite offices as needed.
- Processes mail, deliveries and shipments as needed.
- Greets and signs in and out all visitors.
- Prepare for assessments in the office.
- Print the consents, surveys and witness forms for each assessment.
- Act as chaperone on an as needed basis.
- Sets up and cleans assessor’s exam rooms.
- Manages claimant’s attendance and advises clients of any no shows and late cancels as per service level agreements.
- Follow up with assessors for consent forms, customer surveys
- Conduct COVID Screening calls.
- Participate in various educational and or training activities as required.
- Perform other duties as assigned.

Qualifications:
**EDUCATION AND/OR EXPERIENCE**
High school diploma or equivalent required. A minimum of one year related experience; or equivalent combination of training and experience. Experience in a medical office preferred.

**REQUIREMENTS**
- Ability to handle multiple phone lines with heavy call volume.
- Ability to operate computer, fax, copier, scanner, and telephone
- Must be able to type a minimum of 35 W.P.M.
- Ability to follow instructions and respond to upper managements’ directions accurately
- Demonstrates accuracy and thoroughness. Looks for ways to improve and promote quality and monitors own work to ensure quality is met.
- Must demonstrate exceptional communication skills by conveying necessary information accurately, listening effectively and asking questions where clarification is needed.
- Must be able to work independently, prioritize work activities and use time efficiently.
- Must be able to maintain confidentiality.
- Must be able to demonstrate and promote a positive team -oriented environment.
- Must be able to stay focused and concentrate under normal or heavy distractions.
- Must be able to work well under pressure and or stressful conditions.
- Must possess the ability to manage change, delays, or unexpected events appropriately.
- Demonstrates reliability and abides by the company attendance policy.
- Must maintain a professional and clean appearance at all times consistent with company standards.
