This position supports various aspects of the Ontario College of Teacher’s Tribunals processes. Working directly with members of the Discipline and Fitness to Practise Committees, who conduct a high volume of electronic, hybrid, or in-person legal proceedings, your responsibilities may include: providing administrative assistance before, during and after hearings or pre-hearings; clerking hearings; and, various administrative functions to ensure the successful operations of a fast-paced Tribunals’ Office, including making arrangements for hearings, meetings and training sessions, assisting with hearings scheduling as needed, and processing invoices as needed. Excellent IT skills are required, including advanced knowledge of the Microsoft Office suite, videoconferencing technology, meeting management software, and file-sharing technology.

Demonstrable experience supporting the work of Committees and/or tribunals in a professional regulatory environment is an asset for this position, as is bilingualism (English and French).

**Responsibilities**:

- Support pre-hearing conference processes by preparing resources and distributing materials received for the presiding officer, preparing and posting agendas, maintaining attendance reports, formatting and assisting with the drafting of presiding officer reports, and entering documents and tracking actions from pre-hearing conferences.
- Create new hearing files, ensuring completeness and suitability of file components and distributing materials to hearings participants. Open electronic and/or hard copy hearing folders and respond to enquiries from legal counsel as required.
- Receive hearings related materials, ensure proper formatting, and distribute to staff and hearings participants as needed.
- Provide administrative support for Discipline and Fitness to Practise Committee meetings and training sessions, as needed.
- Provide administrative support to members of the Discipline and Fitness to Practise Committees and clerk remote, hybrid, or in-person hearings and pre-hearings, including by setting up hearing and panel rooms prior to hearings, preparing hearing materials for panel members (e.g., exhibit logs, panel attendance and related forms), and posting agendas and related hearing materials for remote hearings.
- Coordinate the issuing of witness summonses.
- Coordinate and assist staff with expense claims as needed.
- Maintain and update unit procedures and hearings checklists.
- Draft correspondence and distribute decisions to legal counsel, employers, complainants, members, and internal staff for publication and archiving.
- Provide post-hearing follow-up, including by updating hearings tracking data, profiling decisions in tracking system, and advising department staff of disposition.
- Create and maintain statistics / monitoring tools in conjunction with current practices and I&H electronic system.

**General administrative support to unit**:

- Ensure that work prepared in the Unit for the Discipline Committee, Fitness to Practise Committee and senior staff is of high quality and is processed according to format in a timely manner.
- Act as a resource person, following up on queries from internal College staff on the status of various cases and relaying the required responses back to the appropriate individual.
- Draft correspondence in reply to routine enquiries.
- Process invoices from legal counsel and service providers as needed.
- Provide administrative support to, and perform other duties that may be assigned by, the Manager of Tribunals.

**Qualifications**:

- Strong oral and written communication skills.
- Ability to effectively handle sensitive and complex issues and to maintain calm and composed demeanor in a fast-paced legal environment.
- Excellent interpersonal skills - a team player who demonstrates a collaborative approach and supports team decisions.
- Meticulous attention to detail and ability to process a high volume of material in a timely manner.
- Computer skills: Microsoft Office including Outlook, Word, Excel, PowerPoint; Videoconferencing Technology (e.g., Zoom, MS Teams); Meeting Management Software (e.g., eScribe); and File Sharing Technology (e.g. ShareFile)
- Demonstrated experience supporting the work of Committees and/or tribunals in a professional regulatory environment is an asset.
- Bilingualism (English and French) is an asset.
- Membership in good standing of the Law Society of Ontario or Law Clerk designation is an asset.
