**Unit/Project Description**:
The Department of Biochemistry and Biomedical Sciences (BBS), located within the Faculty of Health Sciences, runs two undergraduate programs and two graduate programs. This role will be dedicated to our thesis-based Biochemistry graduate program. This graduate program recruits from the best scientific talent in the country and from around the world. Our 130 MSC, PHD, and MD/PHD students work in over 50 laboratories across McMaster University and are involved in cutting edge scientific research that leads to impactful discoveries that uncover the inner workings of biological systems in health and disease. Our trainees are mentored by some of the brightest minds in science who are research leaders in the fields of microbiology and infectious diseases, stem cell and cancer biology, cardiovascular and metabolic diseases, human genetic diseases, and more. The Biochemistry Graduate Program is designed with the student in mind and maximizes potential in research to prepare graduates for a rich and fulfilling career.
The Biochemistry Graduate Program is recruiting for a Graduate Program Administrator to join our administrative team. This is a continuing position working within a hybrid schedule. This position reports to the BBS Associate Chair/Assistant Dean of Graduate Education, and the Manager, Employee Operations. The successful incumbent will require a thorough understanding of academic programs, functions, policies and procedures, and an understanding of Science graduate programs may be of benefit. The incumbent must be a team player and have the ability to work flexibly and to prioritize their workload regularly.
**Job Summary**:
Responsible for providing support for the efficient operation of an academic graduate program within a department. Responsible for providing overall administrative support including recruitment, admissions, and scholarship process administration. Provides regular program information and general assistance to applicants, students, and Graduate Program.
**Purpose and Key Functions**:
- Provide administrative support regarding the goals and objectives of the program by examining, reviewing, and assessing long-term and immediate needs.
- Monitor admissions and prepare forecasts of returning students to determine if enrolment targets will be met.
- Obtain information from the Office of International Affairs regarding foreign applicants.
- Maintain up-to-date knowledge of course and program curriculum, to act as a resource to the Assistant Dean and faculty members on all matters related to the graduate program.
- Engage potential applicants in discussions at recruitment events.
- Correspond with registered and prospective students (domestic and international) on program options and requirements, program suitability, and potential eligibility for admission.
- Ensure adherence to relevant policies and procedures including those surrounding admission procedures and exam processes.
- Review and interpret transcripts from domestic and international universities and use existing documentation to convert grades to the comparable University standards to calculate domestic and international student grade point averages.
- Write a variety of documents such as correspondence, procedure manuals, reports, and minutes.
- Identify and analyze administrative problems for the program and prepare recommendations for review and approval by the Associate Chair/Assistant Dean.
- Advise students to ensure that they understand that course and program selections adhere to established academic, prerequisite, and graduation requirements.
- Review and evaluate academic records to assist students in determining if they are eligible to continue in and graduate from the program.
- Investigate questions and resolve problems concerning program, curricula, and admissions.
- Coordinate and manage the selection and post-award processes and all details for all internal, external and departmental awards competitions (including, but not limited to CIHR, NSERC, OGS, and Vanier, CAGS, Governor General, Thomas Neilson, BBS Travel Awards, Karl Freeman Prize, Fred and Helen Knight Enrichment Fund and Impact) in collaboration with the program Assistant Dean.
