**The Team**:
At Van Der Hout Associates Wealth Management, we take an unbiased approach to asset management. We’re nimble - we can effortlessly allocate and shift gears between top boutique managers in Canada as well as direct investments in undervalued stocks, bonds, and preferred shares.
We bring together a unique array of expertise from pension consulting and private banking experience at major financial institutions and family offices. We take a collaborative approach and focus on the long-term with an aim to establish lasting relationships with each and every client. That’s why our clients range from high-net-worth individuals and families to industry veterans like family office CIO’s, traders, hedge fund managers, private equity and venture capitalists, and angel investors.
**The opportunity**:
Reporting to the Investment Advisors at Van Der Hout Associates Wealth Management, the Administrative Associate will use their exceptional organization and client service skills to provide confidential and timely administrative and customer-service support to the Advisor team and their clients.
Acting as a resource person for clients, the Administrative Associate will lead the timely and accurate completion of administrative tasks relating to managing client accounts and team operations.
**Key responsibilities include**:
- Assisting in preparing Advisors and Managers for client meetings, including preparation of account-opening documentation.
- Completing account processing activities (converting RRSP to RRIF, setting up RRIF payments, estates, beneficiary updates, etc.).
- Processing a variety of transactions (ex: issuing cheques, deposits, contributions and withdrawals, incoming and outgoing transfers).
- Committing to rigorous follow-up relating to all client transactions to ensure proper processing and minimization of errors.
- Acting as a general resource person for clients (ex: printing statements, tax slips).
- Having a strong understanding of the firm’s procedures and policies.
- Acting as a lead on team projects.
- Maintaining client files, ensuring that all documentation and notes are compliant with industry regulations.
- Performing general administrative tasks (ex: prepare letters, client communication pieces, etc.).
- Attending client events.
- Performing other duties as assigned.
- A diploma in business administration, accounting, finance, or similar field of study.
- A minimum 3 year of administrative experience, preferably in finance.
- A high level of proficiency in Microsoft Office tools; experience with financial tools an asset.
- Experienced with platforms such as Croesus, Salesforce, and iMost.
- Experience in opening accounts with CIRO is considered a strong asset.
- Tax season knowledge is an asset.
- Strong organizational skills with the ability to proactively organize and manage a high volume of time-sensitive work.
- A demonstrated, reliable work ethic with the ability to manage multiple, competing priorities.
- An ability to adapt quickly to changing needs and work requirements.
- A customer-focused attitude with a commitment to providing extraordinary service to high-net-worth clients.
