The **Proposal Coordinator **role will be a pivotal team member that helps drive winning proposal submissions tailored to municipal client Request for Proposals (RFP). This position requires a responsible, reliable professional who can manage aggressive deadlines while delivering quality work with a high level of detail.
**This role can be performed remotely or from any Canada GHD Office (Waterloo or Toronto preferred).**
**Responsibilities**
- Coordinate the proposal process from beginning to end
- Ensure proposals are properly scoped, identify missing information, help identify risks, and ensure text and response match requirements
- Develop overall proposal schedule, production schedule, outlines, and compliance matrices
- Track and ensure timely proposal deliverables required from internal partners, including insurance forms, proposal forms, finance support letters, and write-ups from various authors
- Ensure that proposals and marketing materials are consistent and professional
- Perform regular compliance checks on all submittal documents
- Create Proposal templates
- Prepare, edit, and format proposal sections, resumes, and project sheets in preparation for proposal close-out
- Merge individual contributions into final proposal submission
- Analyze call for proposal documents and identify all requirements in order to ensure proposal compliance
- Refine overall layout, formatting, and visual appeal of proposal documents in Word
- Assist in maintenance of proposal content library
- Develop and maintain support material: boilerplate content, resumes, project sheets, images, testimonials
- Assist with copywriting and editing of proposal content
- Find, analyze and synthesize written content from proposal libraries; revise and repurpose it for new efforts, ensuring the content is tailored to meet the solicitation requirements
- Collect and integrate supporting materials
- Enter and track opportunities in company database
- Track and keep administrative records of submissions
- Work on multiple deadlines and schedules concurrently to maintain 100% on time proposal delivery
- Other duties as required, including new bid opportunity searching and distribution
**Qualifications**
- 2 to 5 years of experience in proposals, marketing or administration
- Excellent communication skills
- Strong attention to detail
- Excellent organizational and interpersonal skills
- Computer literacy and good working knowledge of MS Office, Microsoft Excel, Adobe
