Founded in 1988, VPI has provided working solutions to individuals and organizations for 30 years. We are based in Mississauga and have 17 branch locations across Southern Ontario.

We provide employment programs, assessments and supportive vocational services that help residents of Ontario improve job readiness, explore training and get back to work.

We facilitate several Employment Ontario programs to help job seekers find work and training opportunities. We also work directly with employers who are looking to hire. These free programs and services are provided at no cost to job seekers or employers.

**Key Job Functions**

  • Senior Management Team Support:_
  • Prepares memos and presentations, processes expenses and coordinates occasional travel arrangements
  • Reconciles invoices, expenditures, and expense reports
  • Reviewing current service processes against best practices and current Ministry/Funder guidelines and implementing improvements when necessary.
  • Assist in program delivery and oversight of all EO programs, including but not limited to COJG, Better Jobs Ontario, Employment Services, Skills Development Fund
  • Monitoring and measuring service outcomes, identifying problem areas, and recommending remedial action to the VP, Operations
  • Maintains all Agreements for all funded programs and coordinates and schedules all reporting and documentation submission timelines
  • Other duties as assigned
  • Centralized Operations Support:_
  • Facilitates all purchases made with VPI Credit Card, including approval, invoicing and reconciliation
  • Supports Finance and Branch/Department Managers with monthly petty cash reconciliation
  • Utilizing and improving real-time dashboard reporting to monitor KPI’s, progress and to proactively identify potential service failures.
  • Conducting Quality Assurance activity in accordance with company expectations.
  • Reception and Office Management (in collaboration with Operations Team):_
  • Administers the overall office upkeep, equipment, and general maintenance of head office premises
  • Maintains and orders all supplies and subscriptions
  • Maintains updated list and primary contact for building management, office renovations, cleaners, and suppliers for all VPI locations
  • Sources new vendors as and when required
  • Manages all incoming and outgoing mail, courier deliveries etc.
  • Receives and directs all visitors of the head office
  • Provides facilities management support to all VPI branch locations

**To be successful in the role you will have**

  • Minimum 3 to 5 years of administrative and/or office management experience
  • Experience working in the Employment Ontario model, specifically Integrated Employment Service Delivery/SSM, an asset
  • Detail-oriented and highly organized
  • Ability to work independently with mínimal direction
  • Effective problem-solving skills to assess situations and information from multiple perspectives
  • Ability to manage competing priorities in a fast-paced environment
  • Experience working with confidential and sensitive information
  • Excellent written and verbal communication skills
  • Effective multi-tasker and detail-oriented
  • Advanced proficiency with MS Excel
  • Experience working with high volumes of data and ability to translate data into actionable insights
  • Experience with data visualization
  • Strong organizational and time management skills
