**SUMMARY**

The Asset Administrator is responsible for all administrative aspects of revenue-producing equipment (“RPE”) purchases, including financing, licensing, and data entry into the general ledger based on equipment specifications. This position liaises with other departments (such as Sales and Operations), and external vendors (such as Ministry of Transportation Ontario [MTO]) as well as customers, building strong relationships, responding to information requests and providing recommendations as needed. This position reports to the Asset Manager.

**ESSENTIAL DUTIES AND RESPONSIBILITIES**

Sets up purchases of RPE and other fixed assets in the general ledger, including all required specifications for internal reporting purposes, with a strong attention to detail

Assigns unit numbers based on Trailcon methodology.

Monitors RPE purchases for completion in order to coordinate offerings for financing.

Prepares spreadsheet for lenders providing customer and lease information in order to generate bids from the lenders to fund transactions.

Coordinates documentation for financing purposes once offering is awarded.

Responsible for perfecting liens under the Personal Property Security Act (“PPSA”) to secure Company assets.

Participates in lenders’ asset audits.

Administer the fixed asset system, including reviewing historical system records for accuracy.

Reconciles all asset GL accounts.

Sets up depreciation related to RPE and fixed asset purchases and repairs.

407 Administration, including approval for payment and rebilling customers.

Manage all facets of licensing - i.e. new plates, lost plates, off lease units and transfer of ownership, liaising with the Ministry of Transportation offices (“MTO”).

Process of Insurance Claims, including liaising with customers, insurance agents and other parties to gather information and documentation to complete claims.

Monitors and completes the accounting of disposals.

Prepares bill of sale for asset sales, as required.

Prepares and maintains asset reporting as require

**SUPERVISORY RESPONSIBILITIES**

This position does not have any supervisory responsibilities
QUALIFICATIONS

**EDUCATION and/or EXPERIENCE**

Diploma/Certificate from two-year college or university; or one to two years related experience and/or training; or equivalent combination of education and experience.

**LANGUAGE SKILLS**

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Ability to write routine reports and correspondence.

**TECHNICAL SKILLS**

Strong knowledge of MC Office and Excel is required.

Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.

Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

**REASONING ABILITY**

Ability to deal with problems involving several concrete variables in standardized situations.

Ability to express research findings

**WORK ENVIRONMENT**

Fast-paced environment with frequent interruptions. The noise level is low to moderate.

Ability to drive short distances during working hours is required
