The Medical Office Assistant role at WELL Health Richmond Central Clinic. is a dynamic and integral position responsible for ensuring the smooth and efficient daily operations of the clinic. This role requires a proactive, detail-oriented, and organized individual who thrives in a fast-paced medical environment. The role involves a wide range of tasks, from preparing doctor's rooms to assisting with administrative and clinical duties, contributing to the clinic's overall success.

**What you will be doing**:
**Clinical Support**:

- At the beginning of each day, ensure doctor's rooms are properly stocked, organized, and ready for patient appointments.
- Replenish inventory, including printer paper and other essentials, as needed.
- Ensure all computers and wall units are powered on and ready for use.
- Ensure clinic doors are open on time to welcome patients.
- After a doctor completes a procedure, immediately clean and sterilize instruments and equipment.
- Maintain a clean and organized office environment, including stocking doctor's rooms throughout the day and providing requested items.
- Provide translation services and chaperoning as needed to support doctors and patients.
- Utilize LEAP steps to address challenging customer situations and coworker interactions.

**Doctor Support**:

- Collaborate with front desk staff to manage referrals and requests for diagnostic imaging, ensuring timely submission.
- Manage all billing-related tasks, including insurance claims, WCB, APS's, and more. Organize and complete billing tasks promptly.
- Assist doctors in completing necessary billing-related documentation and promptly forward it to the appropriate personnel.
- Assist doctors in their daily tasks to ensure smooth workflow, including handling urgent tasks such as arranging CT scans for suspected cancer cases.
- Prioritize and complete all tasks promptly, ensuring work is well-organized and relevant.

**Collaboration and Professionalism**:

- Work closely with front desk staff, providing lunchtime coverage and ensuring seamless clinic operations.

- Assist with EKGs and Spirometry tests when front desk staff is busy.
- Assist in booking follow-up appointments for patients as directed by doctors.
- Interact professionally with patients, handling sensitive and challenging situations with empathy and respect.
- Maintain patient confidentiality and practice professionalism at all times.
- Collaborate with doctors, nurses, and fellow staff members to provide exceptional patient care and support.
- Delegate tasks when necessary and seek assistance when tasks become overwhelming.

**Administrative Tasks**:

- Handle prescription requests and manage sending prescriptions to pharmacies.
- Responsible for counting vaccines weekly and maintaining an accurate inventory list.
- Conduct regular inventory checks and place orders for necessary supplies as per the need.
- Daily pickup and drop-off of mail.
- Keep the samples closet organized and maintain clinic bulletin boards.
- Perform ad hoc duties as assigned by the supervisor, billing team, HR, or manager.
