**Position Overview**
**Key Responsibilities**
**Front Office / Reception**:
- Greet clients, visitors, and suppliers in a friendly, professional manner.
- Manage incoming and outgoing mail, deliveries, and courier shipments.
- Maintain a clean and organized reception and office area.
**Administrative / Office Management**:
- Support management and project teams with document control, job tracking, and filing.
- Prepare and edit correspondence, quotes, invoices, work orders, and project documents.
- Track and order office and shop supplies; manage vendor accounts and purchasing.
- Assist with timesheet collection, employee onboarding, and maintaining training and safety records.
- Coordinate meetings, maintain calendars, and support company scheduling.
- Liaise with field crews, project managers, and clients to ensure clear communication and administrative support.
- Assist with Procore submissions, project closeout documents, and other construction administration tasks as needed.
**Qualifications**
- Minimum 2-3 years of administrative or office management experience (construction or trade environment preferred).
- Strong communication and customer service skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook). Experience with accounting or project management software (Sage, Procore, etc.) is an asset.
- Strong organizational skills, attention to detail, and ability to multitask effectively.
- A positive attitude, professional appearance, and the ability to work independently and as part of a team.
